Reports To: Chief Operating OfficerPosition OverviewWe are seeking a highly organized, detail-oriented, and proactive Operations Associate to join our team at our rapidly growing Third Party Administrator (TPA), offering proprietary employer benefits programs.In this pivotal role, you will support the Chief Operating Officer (COO) and Chief Strategy Officer (CSO), helping manage day-to-day operations, prioritize initiatives, and ensure seamless communication across departments.Key ResponsibilitiesInbox and Email ManagementMonitor executive inboxes and manage incoming emails with discretion and prioritization.Flag or escalate urgent messages, deadlines, and follow-ups.Draft responses or redirect messages on behalf of executives as needed.Initiative and Task TrackingTrack initiatives, tasks, and deliverables of executives.Track initiatives, tasks, and deliverables assigned by executives across teams.Maintain organized trackers and systems to ensure visibility into progress and accountability.Follow-Up and CoordinationProactively follow up with team members on outstanding items, status updates, and approaching deadlines.Coordinate meetings, calls, or check-ins when clarification or additional support is required.Progress ReportingProvide concise, regular updates to executives on the status of key initiatives.Highlight progress and identify blockers or risks.Cross-Departmental CommunicationEnsure clear and consistent communication between executives and internal stakeholders.Support operational efficiency by promoting alignment and follow-through across teams.Prepare agendas, materials, and briefing documents ahead of meetings.Assist with note-taking and follow-ups.QualificationsProven experience as an Operations Associate or in a similar administrative role supporting senior leaders.Exceptional organizational and time management skills.Strong written and verbal communication abilities, particularly with executives.Ability to exercise sound judgment and maintain confidentiality.Detail-oriented, proactive, and able to anticipate needs and follow through independently.Preferred SkillsExperience in a fast-paced, dynamic work environment.Background in operations, project coordination, or internal communications is a plus.
