- Manage and organize the founder's calendar, schedule meetings, emails, tasks, and handle daily administrative tasks to ensure a streamlined workflow.
- Draft and send follow-up emails after meetings, using notes from call recordings to summarize key points and outline next steps.
- Craft emails and other communications to nurture and maintain client relationships.
- Work with AI tools like ChatGPT to research and gather information.
- Create or adjust simple marketing materials, such as flyers.
- Keep track of deals and update their status in HubSpot.
- Organize and maintain a clear overview of all ongoing projects and partnerships.
- Perform basic accounting tasks such as reviewing credit card accounts.
- Assist with paperwork and simple invoicing.
- Experience: Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
- Marketing Acumen: A background in marketing is ideal, with the ability to assist with content creation and communication strategies.
- Organizational Skills: Exceptional organizational skills with a strong attention to detail. Must be capable of managing multiple projects and priorities simultaneously.
- Software Proficiency: Experience with calendar management software (e.g., Google Calendar), HubSpot, Canva, and AI tools like ChatGPT is a plus.
- Communication: Excellent verbal and written communication skills, with the ability to craft clear, professional, and effective emails. The candidate must be fluent in English and comfortable asking clarifying questions to ensure alignment with the founder.
- Proactive & Resourceful: Must be a self-starter who can take initiative and work independently. Highly valued is the ability to anticipate needs and develop solutions without constant supervision.
