- Provider Scheduling:
- Maintain and manage provider calendars, ensuring schedule optimization and daily capacity. Utilize waitlists and follow-up systems to backfill cancellations efficiently.
- Chart Preparation & Auditing:
- Ensure all required documentation and test results are attached and ready before appointments. Audit charts post-visit to confirm provider orders have been processed, patients have been contacted, and follow-ups are tracked and completed.
- Medication Prior Authorizations:
- Submit, track, and follow up on medication prior authorization requests. Communicate with providers and patients regarding statuses and next steps.
- Customer Service & Patient Interaction:
- Handle inbound and outbound calls with professionalism and empathy. Capable of communicating with a diverse patient base and de-escalating concerns when necessary.
- EHR Management:
- Work efficiently within Athena EHR and other platforms like Luma to maintain up-to-date and accurate patient records, appointments, and communications.
- Administrative Coordination:
- Collaborate with medical staff and administrative teams to ensure seamless operations and excellent patient care.
- Minimum of 2 years experience as a Medical Virtual Assistant or in a clinical administrative support role
- Proficient in EHR systems (Athena experience preferred); familiarity with Luma or similar patient engagement tools
- Demonstrated experience with medication prior authorizations and patient follow-up processes
- Strong verbal and written English communication skills
- Comfortable making and receiving phone calls with professionalism and confidence
- Exceptional attention to detail, organizational skills, and ability to manage multiple tasks independently
- Tech-savvy with experience using telehealth platforms, communication tools (Slack, Zoom), and productivity suites (Google Workspace or MS Office)
- Background in U.S. healthcare support or experience in a multi-provider clinic
- Experience with chart audits, compliance documentation, and order tracking
- Knowledge of HIPAA and data confidentiality protocols
- Able to work U.S. business hours consistently
