You must be able to manage multiple priorities simultaneously while maintaining a high level of accuracy, quality, and attention to detail.Key Responsibilities:Admin and Operations
- Organize and maintain documentation for recurring workflows and business processes as part of backend office work.
- Help streamline and improve operational workflows over time.
- Take ownership of delegated tasks and see them through to completion.
- Take on additional responsibilities across departments as needed, including backend office work.
- Assist with customer service tasks such as handling support tickets, emails, phone calls, and chat, ensuring timely and professional responses.
- Manage invoicing, monthly billing, and maintain accurate financial record-keeping.
- Communicate with clients, suppliers, partners, and external agencies, following up patiently and persistently until tasks are completed.
- Identify, document, and organize vehicle-related data from reliable external sources and platforms.
- Track each sources status, accessibility, and reliability over time.
- Follow up consistently to ensure timely updates and retrieve missing data.
- Verify and maintain the accuracy, consistency, and completeness of all acquired data.
- Proactively track down incomplete records to ensure data quality is upheld.
- 3+ years in an administrative or operations role (preferably supporting North American or UK clients).
- Excellent communication skills and professional follow-up etiquette.
- Naturally persistent, detail-focused, and outcome-driven.
- Strong organizational and coordination skills - you're the kind of person who follows up until every loose end is tied.
- Comfortable communicating with external stakeholders and navigating delays with patience and confidence.
- Comfortable juggling multiple priorities and shifting between responsibilities as needed.
- Technically savvy and quick to learn new software.
- A strong eye for accuracy and quality, especially when working with information or documents.
- Fully committed to the role (no other side jobs) and available to work during U.S. business hours.
