- Ensure that the building and grounds are maintained and clean.
- Coordinate routine maintenance and repair tasks, such as HVAC, plumbing, electrical, and safety systems.
- Oversee the inspection of the facility and ensure compliance with safety and health regulations.
- Liaise with contractors and vendors for services like cleaning, security, and landscaping.
- Negotiate contracts and maintain relationships with service providers.
- Ensure that services are provided on time and meet quality standards.
- Coordinate space planning, office layouts, and move management.
- Assist in optimizing the use of office space, ensuring it meets organizational needs.
- Manage workspace allocation and seating arrangements.
- Ensure the facility complies with health, safety, and environmental standards.
- Conduct regular safety inspections and drills.
- Maintain safety equipment and systems, such as fire alarms and emergency exits.
- Assist in preparing and managing the facility's operational budget.
- Track expenses and find cost-effective solutions for maintenance and operations.
- Manage the procurement of materials, equipment, and supplies.
- Coordinate the setup and breakdown for company events, meetings, or conferences.
- Ensure the proper arrangement of facilities and equipment for events.
- Keep track of office supplies, furniture, and equipment.
- Ensure adequate stock of essential items like cleaning supplies, paper, and safety equipment.
- Plan and manage facility upgrades, renovations, or construction projects.
- Work with contractors and internal teams to ensure projects are completed on time and within budget.
- Serve as the primary point of contact for any facility-related concerns or requests.
- Report on facility performance, maintenance schedules, and issues to senior management.
- Develop and implement emergency evacuation plans.
- Respond to facility-related emergencies, such as floods, fires, or power outages.
- A degree in facilities management, business administration, engineering, or a related field is often preferred.
- Experience working in facilities management or a related field is often required. This could include experience as a facilities assistant, building maintenance, or in office management.
- Experience with managing projects, especially those related to building renovations, maintenance, or improvements, can be beneficial.
- Experience in managing vendors and contractors, including overseeing contracts and negotiating service agreements, is important.
- Strong organizational and multitasking abilities are crucial for coordinating various tasks related to facilities management.
- Excellent written and verbal communication skills to coordinate with team members, vendors, contractors, and management.
- The ability to address and resolve facility-related issues quickly and efficiently, especially under pressure.
- Strong ability to prioritize tasks and manage time effectively, especially when managing multiple facility-related responsibilities.
- An eye for detail to ensure all aspects of facilities management, from maintenance schedules to safety procedures, are handled thoroughly.
- Familiarity with building systems (HVAC, plumbing, electrical, etc.) and facility management software is a plus.
- A solid understanding of workplace health and safety regulations, OSHA standards, and emergency procedures is important.
- Ability to manage budgets, track expenses, and implement cost-saving measures while ensuring proper facilities operations.
- The ability to respond to facility-related requests from employees or tenants promptly and professionally.
- Effective negotiation abilities to work with vendors and contractors to ensure cost-effective solutions.
