As they expand operations, they are looking for a highly capable remote Administration Officer & Bookkeeper to support day-to-day operations and ensure financial accuracy and administrative efficiency.Role OverviewThis is a hands-on, detail-oriented role combining administration, customer service and bookkeeping responsibilities. The successful candidate will manage customer interactions, scheduling, and internal administrative workflows while maintaining accurate financial records using Xero and ensuring compliance with Australian accounting and tax practices (including GST/BAS). This role requires a candidate who is switched-on, vibrant, quick, and able to thrive in a fast-paced environment. This will be an 80% admin and 20% bookkeeping role.Key ResponsibilitiesAdministration
- Manage inbound/outbound calls and company email inboxes
- Accurately quote and action incoming enquiries
- Schedule jobs, installations, and service appointments
- Coordinate calendars for management and contractors
- Provide general administrative support as needed
- Daily financial auditing, reconciliations, and transaction coding
- Maintain accounts payable and receivable records
- Process invoices, bills, payments, and supplier approvals (batch payments/ABA files)
- Manage contractor invoices and payments
- Assist with BAS preparation and liaise with Australian accountants
- Maintain accurate records in Xero (preferred: Australian experience)
- Manage payroll and ensure GST coding accuracy for BAS reporting
- Monitor overdue invoices, bad debts, and flag unreconciled or unusual transactions
- Maintain proper digital records using Hubdoc, Dext, or similar tools
- Proven experience as a Virtual Assistant, Administration Officer, or Bookkeeper
- Hands-on experience with Xero (Australian company experience)
- Familiarity with Australian accounting practices, GST, and BAS
- Strong English communication skills (written and spoken)
- Excellent attention to detail, organization, and ability to work independently
