JOB SUMMARY: The HR Admin and Operations Officer provides critical operational and administrative support across core HR and business processes. This role is responsible for payroll processing, timekeeping validation, benefits and HMO administration, third party vendor management, onboarding and offboarding of contractors, HRIS maintenance, and the resolution of contractor queries via helpdesk. Additionally, the role shall cover functions for the CEO which include but not limited to inbox and calendar management, client invoicing, client payment monitoring, batch upload of payment files, and salary estimation reports for leadership approval. KEY RESPONSIBILITIES: Onboarding & Offboarding o Coordinate end-to-end onboarding and offboarding processes for new hire contractors. o Prepare and send contract agreement of new hire contractors o Ensure timely background checks, completion of pre-employment documentation, and systems access provisioning. o Facilitate New Hire Orientation (NHO) for incoming new contractors. o Send minutes of NHO to all new hires after the NHO session. o Ensure complete details of all new hires are added on the approved platform for the Alpha list updates. o Ensure that the Monday board is updated once a new contractor is set as active in the alpha list. o Coordinate offboarding steps including checklist finalization, equipment returns (if applicable), and final pay computation. o Ensure that all accountabilities of offboarding contractors are accounted and if it requires financial deductions, these are taken out of the Final pay computation. o Ensure that updates of onboarding/offboarding trackers and satisfaction logs are done in a timely manner. Payroll, Timekeeping & Benefits Administration o Validate timekeeping reports and compute accurate payroll figures. o Process PTO deductions, reimbursements, and manage related compliance. o Prepare salary estimates and facilitate batch uploads for payment platforms (e.g., Wise). o Secure approval of payroll estimates and all applicable payments within the cut-off from the CEO through the approved channel of communication. o Inform payroll approvers once the batch files have been uploaded in the approved payment platform to signal the required system approval. o Maintain benefits and HMO records, enroll/terminate members, and liaise with external providers, including logistics coordination for HMO cards delivery to contractors. Contractor and Stakeholder Support o Manage HRIS tools and ensure accurate contractor data is updated. o Respond to contractor queries related to payroll, benefits, contracts, and compliance in a timely manner. o Track escalations and ensure timely resolution, in coordination with the Managing Director, if necessary. o Coordinate with all parties involved to ensure timely resolution of contractor issues and concerns. Executive Administrative Support o Monitor and manage assigned email inboxes and/or calendar, including that of the CEO, if needed. o Monitor and facilitate expense tracking for all company expenses incurred using the CEO's credit card. o Schedule internal/external meetings and organize required documentation, where applicable. o Keep track of debits and/or credits of clients and send the monthly invoice to each. o Ensure follow-up email is sent to clients with failed payments logged in Stripe. o Prepare and send new contracts for new clients and follow up with the assigned client services manager if the contract is not yet signed after the scheduled due date. o Send monthly bank statements to Extend Your Team's accounting firm. o Assist with internal communications and special projects, as necessary. o Prepare reports, trackers, and administrative files in alignment with Leadership directives. QUALIFICATIONS: Bachelor's Degree in Human Resources, Business Administration, or related field 2-4 years of experience in HR, payroll, or operations in a remote or BPO setting Proficiency in HRIS, payroll systems, G-Suite, Microsoft Excel, and payment platforms Strong attention to detail, organizational skills, and ability to handle confidential information Must be willing to work on the night shift or flexible schedule depending on the business need Rate: USD 9-10/hr Show more Show less
