Daily Admin & Task Management● Work an 8–5 CST schedule, Mon–Fri; rare after-hours (<5%) only if critical.● Maintain a living SOD/EOD tracker for priorities, ad-hoc tasks, and completions.● Join process-engineering calls; help build/maintain the playbook and checklists.Transaction Support (Offer → Closing)● Own TransactionDesk tasks/worksheet: track milestones, organize docs, draft worksheet for quick agent review.● Coordinate lender/title milestones: send executed agreement, track appraisal, obtain/route Closing Disclosure.● Manage inspection-contingency removal and ensure agreed repairs are completed.● Schedule final walkthrough and closing (AM/midday preferred); handle any reschedules and updated statements.● Update MLS to “Sold” and publish “Just Sold” using templates.● Trigger and track Google-review requests at accepted offer and post-closing.Communication & Coordination● Keep agents informed using RASI (Responsible/Accountable/Consulted/Informed) notes in the checklist.● Proactively check in on open items (repairs, appraisal results, CDs, walkthrough scheduling).Process Adherence & Improvements● Follow the Administrative VA playbook and stage flow; propose refinements to templates, scripts, and tracking as patterns emerge.RequirementsKNOWLEDGE OR SKILLS NEEDED● TransactionDesk (forms, tasks, e-sign flows) or equivalent real-estate platforms.● NorthstarMLS operations (status changes, listing data).● Strong written communication; concise status updates.● Excellent attention to detail; thrives in checklist-driven work.● Handles many simultaneous transactions without missing deadlines.● Familiarity with U.S. residential transaction timelines and parties.● Bonus: social media posting basics; comfort working from templates.Tools● TransactionDesk (primary)● NorthstarMLS● Edina Realty● Google Workspace (Gmail, Drive, Calendar)● Phone/SMS; Zoom/Meet● Internal trackers (SOD/EOD, TC checklists, RASI)Benefits
