- Lead end-to-end administration of claim and litigation matters within the legal matter management system (e.g., SimpleLegal), including matter setup, data entry, coding structures, documentation standards, and lifecycle tracking.
- Serve as system administrator for claims-related platforms, including user management, workflow oversight, vendor onboarding, and user training.
- Establish and maintain structured claim file and database protocols, including maintaining claims checklists and tracking tools and proactively monitoring key dates, reporting deadlines, litigation milestones, and insurer obligations.
- Coordinate and execute document collection and transmittal of project files to outside counsel, including managing the execution and tracking of retainer agreements, settlement agreements, and related documentation.
- Oversee and perform vendor onboarding and invoice processing activities, including reviewing invoices for accuracy and documentation, routing for approval, tax documentation, insurer coordination, discrepancy resolution, and partnership with Accounts Payable to ensure timely and accurate payments.
- Prepare and deliver monthly and quarterly claims reporting, accruals, deductible racking and reconciliations, losses-within-retention reporting, and related management presentations.
- Lead and execute legal hold processes and support document production coordination with IT and outside counsel.
- Maintain claims-related data, reports, certificates of insurance, and tracking logs (including vehicle claims), ensuring accuracy and completeness.
- Recommend and implement workflow enhancements in coordination with counsel and LCR leadership to improve efficiency, consistency, and data quality.
- Bachelor’s degree preferred.
- 3-5+ years of progressive experience in claims administration, litigation support, insurance operations, or legal operations.
- Experience with legal matter management and invoice management systems.
- Demonstrated experience reviewing and auditing legal vendor invoices.
- Working knowledge of liability insurance structures and deductible tracking.
- Strong technology orientation, including advanced Excel skills; experience with Power BI, automation tools, or similar technologies preferred. Experience with and interest in using Artificial Intelligence (AI) to enhance productivity is desired.
