Company DescriptionTreantly is a Canadian-based recruitment agency that facilitates the connection between businesses in North America and exceptional remote staff in the Philippines.We’re hiring a resourceful Executive Assistant to support senior leadership across operations, client communications, and day-to-day administration. You’ll be the force that keeps calendars aligned, inboxes clean, follow-ups on track, and cross-functional work moving—especially around benefits administration initiatives (e.g., ACA reporting, wage parity programs, pharmacy analytics, and pre-tax benefit accounts). Strong written English, proactive reminders, and comfort using WhatsApp voice notes are essential.Job Responsibilities:
  • Own executive email and calendar: triage/prioritize inboxes, draft responses, schedule meetings across time zones, and prepare agendas and briefs.
  • Drive follow-through: track action items, send proactive reminders, and close loops with internal teams, clients, and vendors.
  • Meeting ops: coordinate stakeholder calls (Teams/Zoom), capture notes, and convert into clear tasks with owners and due dates.
  • Document & deck prep: create memos, executive updates, and slide materials for client reviews and internal operations.
  • Light project coordination: support timelines and task boards for benefits initiatives (e.g., ACA compliance cycles, wage parity reporting, pharmacy analytics deliverables, and open enrollment collateral).
  • Data/admin support: help gather reports from benefits portals, maintain trackers (e.g., FSAs/HRAs/HSAs, Flex/spend accounts), and liaise with customer support as needed.
  • Communication: draft crisp, member-centric messages; record/send WhatsApp voice notes when faster than typing; escalate issues with context and options.
  • Process improvement: spot bottlenecks, suggest simple SOPs/templates, and help standardize recurring workflows.
  • Discretion & compliance: safeguard confidential information and align communications with healthcare benefits policies and timelines (e.g., ACA).
Requirements
  • 3+ years as an Executive Assistant, Chief of Staff assistant, or Operations Coordinator supporting senior leaders.
  • Exceptional written and spoken English; fast, concise drafting and note-taking.
  • Elite inbox/calendar skills (priority triage, time-boxing, back-planning for deadlines).
  • Habitually proactive with reminders, follow-ups, and status nudges.
  • Comfortable using WhatsApp voice notes in a professional context.
  • High discretion with sensitive data; strong judgment, reliability, and urgency.
  • Proficiency with Microsoft 365/Google Workspace, Zoom/Teams, and task tools (e.g., Asana, Trello, ClickUp).
Nice-to-Haves (Healthcare/Benefits Context)
  • Familiarity with self-funded health plans, wage parity/prevailing wage benefits, and ACA reporting cycles.
  • Understanding of pre-tax benefit accounts (FSAs/HRAs/HSAs) and participant/benefits portals.
  • Exposure to pharmacy benefit analytics or shared-savings programs.
