We are seeking a highly skilled, proactive, and detail-oriented Executive Assistant to provide strategic and administrative support to our CEO & COO. This role is perfect for an organized professional who thrives in a high-energy, fast-paced corporate environment and is eager to make a meaningful impact. As the Executive Assistant , you will be a trusted partner to our leadership team, ensuring seamless operations, effective communication, and the successful execution of key business initiatives. Key Responsibilities: 1. Executive & Calendar Management Manage and coordinate the CEO & COO's schedules, optimizing time efficiency. Organize and schedule high-level meetings, including board meetings, investor discussions, and strategy sessions. Prepare meeting agendas, presentations, minutes, and track follow-ups. 2. Communication & Correspondence Serve as the primary liaison between executives and internal/external stakeholders. Draft, review, and refine emails, reports, proposals, and press materials. Ensure professional and effective communication in all interactions. 3. Travel & Event Management Plan and coordinate domestic and international travel, including VIP events, industry expos, and executive itineraries. Oversee event planning for product launches, brand activations, and networking engagements. 4. Business & Brand Support Conduct research on market trends, competitors, and industry insights. Assist in preparing reports, strategic documents, and presentations for leadership meetings. Support marketing and branding initiatives, including influencer partnerships and collaborations. 5. Project & Operational Coordination Track key projects and deadlines across marketing, operations, and finance teams. Work closely with department heads to ensure smooth execution of business strategies. Support budgeting, vendor management, and procurement for executive-level initiatives. 6. Stakeholder & VIP Relationship Management Act as a point of contact between executives and investors, partners, and high-profile clients. Organize luxury client experiences, private brand events, and high-touch engagements. Maintain confidentiality and professionalism in all executive interactions. What We're Looking For: Bachelor's degree in Business Administration, Management, Communications, or a related field. Must have 3-5 years of relevant experience as Executive Assistant, preferably in the aesthetic, beauty, skincare, or wellness industry. Candidates should be prepared to work six days a week, with flexibility to adjust based on business needs and priorities. Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook), Google Workspace, and project management tools (Asana, Trello). Strong verbal and written communication with a polished and professional demeanor. Ability to multitask, prioritize, and thrive in a fast-paced environment.
