The OpenText culture recognizes “People First” and supports you to further develop and grow your career.The Executive Assistant will be responsible for providing executive administrative support to both functions and leaders to ensure that operations are maintained in a proficient manner. The role must demonstrate the ability to adapt and anticipate the needs of Senior Leadership and changing priorities with a high level of professionalism, confidentiality, maturity, and positive attitude. The role will require providing office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects. Administrative and clerical services should be provided in a timely manner in order to ensure effective and efficient operations.WHAT THE ROLE OFFERS
  • Independently manage and coordinate multiple calendars, appointments, reservations, expenses, and travel arrangements.
  • Proactively create and maintain effective communications to accomplish the work of the executive which includes the handling of a variety of projects and tasks simultaneously.
  • Independently organize and produce on-site and/or virtual meetings/conferences typically in MS Teams.
  • Create and/or modify reports, letters and presentations using the Microsoft Office Suite.
  • Site-wide employee activities/programs management (i.e. Offsite Teambuilding, Halloween, Year-end party).
  • Reservation and confirmation of VIP visitors.
  • Attend team meetings and capture meeting notes, when appropriate.
  • Understand and follow OpenText Approval and Authorization policy, including affixing e-signatures on documentation.
  • Work across multi-disciplinary teams to achieve set tasks and goals.
  • Other related tasks that may be assigned from time to time.
WHAT YOU NEED TO SUCCEED
  • Candidate must possess at least a Bachelor's/College Degree, any field
  • 2 - 4 years of experience in Administrative role
  • Strong planning and organization skills
  • Excellent interpersonal and communication skills (both verbal and written)
  • Excellent time management and organizational skills with the ability to prioritize, multi-task and adhere to deadlines
  • Has a strong knowledge of Microsoft Office
  • High level of attention to detail, excellent follow-up skills and a commitment to
  • maintaining confidentiality
  • Ability to work effectively under pressure within a fast-paced team environment
  • Mature approach, with an ability to exercise sound judgement in responding to inquiries and solving problems; Individual must be highly proactive and flexible.
  • Works well both independently and as a team member
  • Candidate must be willing to work on shifting schedule
