About the role Own the entire tutor lifecycle end-to-end - Recruitment/Talent Acquisition Onboarding & compliance Availability upkeep 2-hour shortlists Placement support Coaching & quarterly check-ins Community/events Offboarding - while running the day-to-day tutor operations that keep matches fast and quality high. What you'll do Recruit & hire at volume: source (LinkedIn Recruiter + Indeed), screen, run structured interviews, reference checks, and offers. Onboard cleanly: profiles, bios, subjects, travel radius, WWCC/ABN, policies; get tutors "placement-ready" within 72 hours. Keep supply fresh: drive weekly availability updates; deliver 2-3 tutor shortlists within 2 hours for each new student brief (Ops finalises match). Coach & support tutors: proactive post-lesson calls, practical advice, issue resolution; run quarterly check-ins. Build culture: schedule webinars/mini PDs, recognition programs, buddy/mentor pairs; maintain clear comms tone. Tighten processes: write/enforce SOPs; maintain saved replies/templates; help improve ClickUp/HubSpot/Teachworks workflows. Be reliable: cover AEST hours with a light weekend on-call rotation for urgent lesson issues. Outcomes/KPIs Shortlist SLA 90% (within 2h) Tutor reply time median 60 mins (p90 2h) Availability freshness 95% weekly Acceptance rate 70% on matched offers Tutor CSAT 8.5/10 (post-first-lesson) Faster time-to-first-lesson, fewer escalations Skills (must-haves) Tutoring industry expertise (AU), managing a large tutor pool Talent acquisition (LinkedIn Recruiter, Indeed, Seek, etc.) Structured interviewing with evidence-based decisions People & Culture: community building, recognition, fair conflict handling Tutor coaching: lesson standards, call quality, actionable feedback Operational discipline: SLAs, triage, shared inbox hygiene, scheduling flow Data & dashboards: Sheets/Excel; track reply times, acceptance, CSAT, retention SOP design & enforcement with crisp documentation Tool fluency: LinkedIn Recruiter & Indeed (required); ClickUp/HubSpot nice-to-have; Google Workspace; Teachworks or similar Reliability & responsiveness: comfortable with light on-call; clear written/phone comms; detail-obsessed and proactive High bar for this role (read before applying) We're looking for an operator who is analytical and warm, fast and meticulous. You: Own outcomes, not tasks. You think in SLAs, checklists, and dashboards. Communicate crisply (and jump to a 5-minute call/recording when text gets fuzzy). Are detail-obsessed: names, times, suburbs, availability windows-never sloppy. Balance kindness with standards; you coach and you hold the line. Coach with warmth + standards: specific feedback, measurable goals, follow-ups on time. Keep operational hygiene: inbox to Queue Zero, accurate availability, clean naming, links that work, and notes that others can follow. Are proactive: you spot risks early and suggest better ways before being asked. Raise the hiring bar: structured interviews, work samples, scorecards; you can explain why you said "no". Are reliably reachable for on-call windows; you don't vanish when it matters. Stay calm under pressure Learn fast, write clean SOPs, and leave every process tighter than you found it. Are great at relationship building and engaging with stakeholders Hard no's (please don't apply if): You haven't managed tutors in a tutoring company, or you avoid phone calls.
