JOB SUMMARY The administrative officer directly reports and is responsible to the Director-Operations Support. Admin officer has the authority in enforcing coordination of the various activities of the Director-Operations Support and handling of all outgoing communications and other messages. DUTIES & RESPONSIBILITIES Arrangement of Director Meetings, calendars, Prepares Minutes of Meeting, Budget Preparation, Presentation and other urgent operation matters requested by Director Ensures all documents/files for the Director-Operations support shall be properly filed and controlled for unauthorized access Distributes and process office correspondence and other documents such as offense notices, dismissal, back to work memo/ work schedules and operational roster for operations support department Processes cash advances, liquidations, reimbursement of expenses and other related finance documents required by Operations support department Processes payments for operational fees Processes performance evaluation for approval of the director of operations support for the department's staff promotion/regularization Assist Time Keeping matters of manila-based mechanics and other maintenance operations staff Responsible for inserting updates of operational manuals under the operations support department Assist in the preparation of business travel authorization (BTA) of personnel for stations visit Responsible purchase requisition for department supplies Responsible for provision of allowances of personnel during rescue outstation and AOG in manila Prepares travel expense report and travel advance fund replenishment of personnel Perform other duties and functions that the director operation support may assign . EDUCATION & TRAINING G At least 2 to 3 years of experience in the field or in a related ar Bachelor of Science in Business Administration or any Business and Aviation course, 4years Graduate preferred. KNOWLEDGE & EXPERIENCE Decision-making: group assistants need to make independent decisions daily, addressing the best way to handle specific tasks. Communications and collaboration: A group assistant must collaborate with other administrators and support personnel, management and clients on a regular basis. Organizational skills: The ability to maintain order helps ensure executives don't miss appointments or deadlines. Writing: Their emails, letters, documents, and social media posts reflect upon their employers, so they need to know how to write professionally, using proper spelling and grammar.
