- Managing the CEO’s calendar.
- Manage information flow in a timely and accurate manner.
- Organise and prepare for meetings, including gathering documents and attending logistics or meetings.
- Format information for internal and external communications including emails, presentations and reports.
- Upload data in tender portals, assist in preparing tender response and requirements (Microsoft Dynamics).
- Create and send mailouts (Mailchimp and SendGrid) and keep the mailing lists.
- Create and send surveys (SurveyMonkey).
- Set up webinars (Teams, Demio, or Vimeo).
- Assist in organizing events, and coordinate with marketing suppliers and consultants.
- Take minutes during meetings.
- Management of CEO’s credit card expenses.
- Manage CRM system - maintain customer data, generate proposals and reports, create leads and opportunities.
- Assist with travel requirements.
- Handle confidential and/or sensitive information (NDA’s, pricing etc).
- High level stakeholder engagement and interpersonal skills.
- Demonstrated experience as an Executive Assistant or Personal Assistant.
- Intermediate to advanced MS Office knowledge (Word, Excel, PowerPoint, Outlook).
- High level of discretion and confidentiality.
- High attention to detail.
- Excellent written and verbal communication skills.
- Highly organised with ability to multitask.
