Job Overview Our client is seeking a highly capable and resourceful Executive Assistant to support its CEO in a dynamic, fast-paced environment. This role is critical to the organization's operational effectiveness, serving as a trusted partner to the CEO and ensuring day-to-day priorities are executed with precision and discretion. The ideal candidate will be proactive, organized, and detail-oriented, with the ability to anticipate needs, manage competing priorities, and streamline workflows. This role offers a unique opportunity to contribute to the success of a high-growth organization while working closely with executive leadership. Your Responsibilities Executive Support & Strategic Partnership Acts as the primary point of coordination for the CEO's schedule, ensuring alignment with shifting business needs and strategic objectives Oversees the preparation of meeting materials, briefing notes, agendas, and post-meeting documentation Manages and filters the CEO's inbox, ensuring timely and appropriate communication handling Coordinates with internal teams, clients, and external stakeholders on behalf of the CEO Arranges domestic and international travel, prepares itineraries, and processes expense reports Supports executive-level projects and initiatives, handling sensitive matters with confidentiality and sound judgment Administrative Operations & Cross-Functional Support Maintains structured systems for internal documentation, digital files, and team coordination Supports administrative processes related to onboarding/offboarding, vendor coordination, and internal policy management Coordinate with contractors, consultants, and service providers as needed to support day-to-day operations Systems & Process Optimization Assists in the development, implementation, and upkeep of standard operating procedures (SOPs) across business functions Ensures consistent documentation practices and accessible, up-to-date internal knowledge bases Leverages project management tools (e.g., Notion, Asana) to monitor task execution and ensure team accountability Identifies inefficiencies in administrative or communication workflows and suggests improvements for operational effectiveness What We&aposre Looking For Minimum of 5 years of experience supporting C-level executives in fast-paced, high-responsibility environments Proficient in Google Workspace, Microsoft Office Suite, and project/task management platforms (e.g., Notion, Asana) Experience in professional services, real estate investment, or similar industries is preferred. Flexibility to work primarily within Pacific Time hours, and openness to coordinating across multiple time zones as needed to support clients and internal teams Proven ability to multitask, prioritize effectively, and operate with minimal supervision Excellent written and verbal communication skills Highly organized, detail-oriented, and capable of managing sensitive information with discretion Strong interpersonal and problem-solving skills, with a proactive mindset Comfortable working in a lean, agile organization with shifting priorities and fast execution cycles What We Offer ????
