
AP / AR & Billing Logistics Specialist

- Issue and manage timely, accurate billing based on shipment documentation and logistics agreements.
- Maintain aging reports and follow up on overdue invoices with a thoughtful, investigative approach.
- Reconcile short payments and discrepancies before reaching out to clients, ensuring smooth client communication.
- Balance customer accounts and support the month-end AR closing and reporting.
- Process and code vendor invoices correctly (e.g., fuel, GL entries), ensuring approvals and accurate postings.
- Reconcile vendor statements and resolve discrepancies efficiently.
- Ensure timely vendor payments, maintain audit-ready documentation, and assist with month-end closing processes.
- Prepare and manage billing across trucking and warehousing divisions.
- Address and offer resolution for billing discrepancies or issues raised by clients or internal teams
- Ensure billing aligns with logistics-specific systems and operations.
- Financial Administration & Process Improvement
- Assist in AR/AP reconciliations during monthly close.
- Generate reports (aging summaries, cash flow insights) to support leadership decisions.
- Suggest improvements to workflows for better efficiency and accuracy across financial processes.
- Work closely with operations, customer service, and external vendors to support invoicing and payment coordination.
- Communicate effectively across U.S. and PH time zones (via tools like Slack, email, or call)
- Maintain clear documentation and support continuous improvement initiatives.
- 3+ years of combined Accounts Payable, Accounts Receivable, or Billing experience
- Strong proficiency in Excel (pivot tables, formulas, VLOOKUPs) and experience with tools like Bill.com or ERP systems
- Exceptional attention to detail and problem-solving capabilities
- Excellent English communication skills, both written and verbal
- Familiarity with logistics terminology, TMS platforms, or freight documentation is highly desirable.
