- Coordinate inbound and outbound shipments across warehouse locations in British Columbia, Ontario, Washington, Nevada, Tennessee as well as direct-to-customer deliveries across North America.
- Schedule and book freight with carriers for LTL, FTL, parcel, and intermodal shipments.
- Manage courier accounts (e.g., FedEx, UPS, Purolator, Canada Post) and reconcile courier invoices.
- Monitor shipment status proactively and intervene quickly when delays or issues arise, communicating clearly with carriers, 3PLs, warehouse teams, and customers.
- Prepare all required shipping documentation including Bills of Lading (BOLs), packing slips, commercial invoices, customs paperwork, and cross-border compliance documents (USMCA, HS codes, tariff classifications).
- Coordinate return labels and reverse logistics for customer returns in collaboration with Customer Service.
- Maintain accurate inventory records across internal systems (Spire, Shopify, ShipStation) to ensure real-time visibility of product availability and stock movement.
- Monitor inbound purchase orders and update receiving records to ensure inventory is accurately reflected upon arrival.
- Identify inventory discrepancies and escalate or resolve issues in a timely manner.
- Support cycle counts and periodic inventory audits in coordination with warehouse staff.
- Track slow-moving, overstocked, or out-of-stock items and flag for purchasing or sales team review.
- Work closely with the Customer Service team to align shipping timelines with customer expectations and resolve order issues.
- Collaborate with Sales, Purchasing, and Operations to align logistics activities with demand planning and restock schedules.
- Support wholesale order coordination from quotation to delivery as a secondary contact for key accounts.
- Liaise with 3PL warehouses to ensure accurate and timely fulfillment of orders.
- Track and report on key logistics KPIs including on-time delivery rates, shipping costs, and carrier performance.
- Help compile shipping metrics and freight cost analytics to support management reporting.
- Assist with freight invoice reconciliation and flag billing discrepancies.
- Continuously identify opportunities to streamline manual tracking processes and improve logistics efficiency.
- Perform other duties as assigned.
- 5+ years of experience in logistics, supply chain coordination, or freight operations.
- Strong working knowledge of LTL, FTL, parcel, and cross-border shipping (Canada–US) processes and documentation.
- Experience with freight and order management systems (e.g., ShipStation, Shopify, or similar platforms).
- Advanced proficiency in Microsoft Excel for tracking, reporting, and data management.
- Excellent English communication skills — written and verbal — for working with North American carriers, warehouses, and internal teams.
- Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously.
- Comfortable working independently in a remote environment with minimal supervision.
- Proactive problem-solving mindset — able to anticipate issues and act before they escalate.
- Familiarity with Canadian and US customs regulations, HS codes, USMCA documentation, and cross-border compliance.
- Experience working for or with wholesale distributors, importers, or e-commerce companies.
- Background in printing, promotional products, or related industries is an asset but not required.
- Experience coordinating with 3PL warehouses across multiple locations.
