- Documentation Management: Organize, maintain, and update all IT department documentation (policies, procedures, records, network diagrams, user manuals), ensuring accuracy, accessibility, and adherence to ISO requirements, naming conventions, and version control within the designated document management system (DMS).
- ISO Certification & Audit Support: Assist in preparing, reviewing, and maintaining ISO 27001 documentation. Coordinate with IT teams to gather information, ensure compliance, track review cycles, and support audit readiness by compiling evidence, coordinating schedules, and tracking findings for timely resolution.
- Policy & Procedure Adherence: Support the dissemination of IT policies and security awareness materials, track compliance training, and maintain records of security incidents for audit purposes.
- General Administrative Support: Provide comprehensive administrative assistance to the IT and compliance teams, including calendar management, preparing reports and presentations, managing IT procurement, coordinating meetings, and maintaining IT asset inventory and office supplies.
- Communication & Collaboration: Act as a central liaison for documentation requests, facilitate internal communication regarding compliance updates, and collaborate with IT leadership, security officers, and other stakeholders.
- Associate's or Bachelor's degree in a related field preferred
- 3+ years of administrative experience, with at least 1 year directly supporting compliance, quality management systems (QMS), or information security frameworks (e.g., ISO 27001).
- Proven experience in an IT administrative support role, with demonstrated understanding of ISO standards, audit processes, and document management systems.
- Familiarity with IT service management (ITSM) frameworks (e.g., ITIL) is a plus.
- Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in document management systems and tools.
- Basic understanding of IT concepts and technologies; familiarity with GRC tools and diagramming tools (e.g., Visio) is a plus.
- Exceptional attention to detail, strong organizational, and meticulous record keeping abilities.
- Excellent written and verbal communication skills, with the ability to translate technical information clearly.
- High level of discretion, confidentiality, proactivity, and problem-solving aptitude.
- Ability to work independently, manage multiple tasks, and collaborate effectively with diverse teams.
- Familiarity with ISO 27001 standard and its documentation requirements.
- Experience in an organization that has undergone ISO certification.
- Knowledge of ITIL or other IT service management frameworks.
- Experience with specific document control software or knowledge management systems.
- Understanding of IT security best practices and prior experience in a regulated industry.
- Relevant certifications in administrative support, project coordination, or compliance.
