
Virtual Admin Assistant (Data & Marketing)

- Maintain and clean CRM records (remove bounces/duplicates, enrich contact details)
- Build targeted marketing and stakeholder lists to support campaign activity
- Manage and update CMS content (including manual processes as needed)
- Collate and sort data from platforms such as Harvest, ASX announcements, and grant hubs
- Organise and clean SharePoint folders and editorial image libraries
- Track and follow up on overdue Stripe subscription invoices
- Set up and maintain Harvest projects; generate basic reports on usage
- Support monthly reporting activities for retainer clients
- Assist in data analysis for sponsored content and advertising reports
- Post approved content across social media platforms
- Coordinate transcription of interviews and podcasts
- Manage podcast uploads (Podbean, WordPress), and archive audio files to SharePoint
- Provide diary management support to senior executives
- Coordinate onboarding/offboarding for new and departing staff
- Previous experience in an administrative, operations, or marketing support role
- Comfortable using tools like CRM platforms, CMS (e.g. WordPress), Harvest, Stripe, SharePoint, and social scheduling tools
- Strong data handling skills – able to clean, sort, and interpret information
- Proactive and highly organised with a sharp eye for detail
- Professional communication skills, including when working with senior stakeholders
- Sound judgement and ability to manage sensitive information
- Reliable, responsive, and flexible to meet evolving business needs
