The RoleWe are seeking an Admin Assistant to provide reliable day-to-day administrative support to the a US-based Home Care Agency. This role is primarily administrative, with a strong focus on scheduling, coordination, and workflow management. It’s ideal for someone detail-oriented, tech-savvy, and passionate about ensuring smooth operations behind the scenes.Key ResponsibilitiesAdministrative Support
  • Manage calendars, coordinate meetings, and schedule calls across time zones.
  • Prepare documents, reports, and presentations with accuracy and attention to detail.
  • Handle email correspondence and internal communications on behalf of leadership.
  • Maintain organized records, files, and databases across multiple business units.
Scheduling & Coordination
  • Act as the main scheduler for the leadership team, ensuring efficient use of time and resources.
  • Anticipate and resolve scheduling conflicts while keeping priorities aligned.
  • Coordinate logistics for internal and external meetings, including follow-ups and reminders.
  • Support cross-team collaboration to ensure smooth workflows.
Additional Support Skills
  • Ability to assist with CRM updates (HubSpot experience is a plus).
  • Strong organizational skills that can contribute to sales support if needed.
  • Flexibility to step into light client-facing communication when required.
You’re a Great Fit If You Have:
  • Proven experience in an administrative support or scheduler role.
  • Strong English communication skills (written and verbal).
  • Excellent organizational skills, time management, and attention to detail.
  • Familiarity with digital tools such as HubSpot CRM (or willingness to learn).
  • A proactive, independent work style with the ability to prioritize tasks effectively.
  • A passion for supporting mission-driven work in the eldercare industry.
Tools You'll Use:
  • Microsoft Office Suite (Word, Excel, PowerPoint)
  • Google Workspace
  • HubSpot CRM (preferred but not required)
Technical & Work Setup:
  • High-speed internet connection (at least 25 Mbps).
  • PC/Laptop: Minimum 8GB RAM, i5 processor or equivalent.
  • Noise-canceling headset (preferred).
  • Quiet, professional home office setup.
Work Schedule & Benefits:
