We're hiring a proactive and detail-oriented Virtual Admin Assistant to support one of our Australia-based real estate clients with day-to-day administrative tasks. This role is ideal for someone with strong organisational skills, excellent communication, and the ability to handle a mix of chats, emails, phone calls, and meeting coordination. Experience or exposure to the real estate industry is highly preferred. Responsibilities Provide day-to-day administrative support to the client and their team Handle incoming customer enquiries via chat, email, and phone in a professional and timely manner Schedule and manage appointments, property inspections, and meetings Take accurate meeting notes and follow up on action items Maintain and update property listings across platforms or websites Support the creation and posting of content for social media and property marketing Create basic graphics or promotional materials (e.g. social media posters or flyers) Maintain and update CRM or relevant databases Prepare simple reports, proposals, or documentation as needed Assist in managing calendars and emails Liaise with internal and external stakeholders as required Perform other admin-related tasks to support the business operations Qualifications At least 2-3 years of experience as a Virtual Assistant or in an administrative support role Experience in the real estate industry or knowledge of real estate processes is required Excellent written and verbal English communication skills Strong organisational and time management skills Comfortable handling phone, chat, and email communications Proficient in tools such as Google Workspace, Microsoft Office, Zoom, and other common VA tools Familiarity with property listing platforms and CRMs (e.g. Agentbox, VaultRE, Rex, HubSpot, Zoho) Ability to create simple social media posters or marketing materials using tools like Canva or similar Basic understanding of social media management and content scheduling is a plus Tech-savvy and quick to learn new systems or platforms Professional, reliable, and self-motivated Detail-oriented and can work with minimal supervision Strong sense of accountability and ownership of tasks Proactive with a positive, can-do attitude Show more Show less
