- Coordinate and track all end-to-end preboarding activities including documentation, background checks, medical examinations, and system access provisioning.
- Act as the primary point of contact for new hires prior to Day 1, ensuring timely communication and a positive onboarding experience.
- Prepare and maintain onboarding schedules, checklists, and trackers to ensure all required activities are completed and all stakeholders are aligned.
- Partner with line managers to ensure readiness for Day 1 (e.g., workstation setup, welcome kits, orientation schedules, and team introductions).
- Collaborate with IT, Facilities, Payroll, and other stakeholders to facilitate all new hire logistics.
- Monitor onboarding feedback and metrics to identify gaps or improvement opportunities and recommend enhancements to the onboarding and preboarding process.
- Maintain accurate documentation of all onboarding and preboarding activities in the HRIS/onboarding platform
- Provide administrative and execution support for broader talent acquisition initiatives as follows:
- Employer Branding – assist in the preparation and rollout of employer branding campaigns, including creation of social media content, employee story features, and coordination of branding-related events.
- Employee Referral Programs – support the implementation and promotion of employee referral campaigns, track referral submissions, prepare periodic reports, and coordinate recognition/reward distribution.
- Internship Programs – coordinate internship recruitment and onboarding processes, facilitate intern engagements (orientation, learning activities, closing exercises), and monitor intern progress to ensure a positive program experience.
- Recruitment Marketing – assist in producing recruitment promotional materials, support the company's participation in career fairs, campus outreach, and other external events, and track campaign results and candidate engagement levels.
- Bachelors degree in human resources, Psychology, Business Administration, or a related field;
- At least 1 year of experience in onboarding, HR operations, recruitment coordination, or a similar administrative HR role.
- Prior experience supporting recruitment or talent acquisition initiatives is an advantage
- Working knowledge of onboarding processes and HR operational procedures.
- Familiarity with HRIS/onboarding systems and productivity software (e.g., Microsoft Office, Excel, Teams).
- Strong project coordination, organization, and time management skills.
- Excellent communication and interpersonal skills.
- Customer-focused mindset with the ability to manage multiple stakeholders.
- Ability to manage several tasks concurrently and follow through on commitments.
- Strong attention to detail and a continuous improvement mindset
- LICENSES/CERTIFICATIONS: Certification in HR (e.g., SHRM-CP, PHR, or equivalent) is a plus.
