This is a hybrid role for a proactive operator who can support and help bring structure to a growing business.You will serve as the right hand to leadership, working directly with our client in a lean setup. This position requires a high level of trust, discretion, and accountability. It is designed for someone who is both a proactive builder of simple processes and a disciplined executor of day-to-day tasks. We are open to various experience levels, as long as you demonstrate strong ownership, adaptability, and a commitment to continuous learning.What you’ll be doing:1. Executive & Administrative Support

Daily Rhythm: Own daily to-do lists, reminders, and follow-ups to ensure nothing falls through the cracks.
Reporting: Provide structured daily reports (tasks completed, pending items, and blockers).
Coordination: Manage calendar scheduling and track ongoing project deadlines.

2. Systems & Process Support

Workflow Architecture: Help build and refine internal workflows from scratch.
Documentation: Actively document processes as they are created to build our first company Playbook/SOP library.
Optimization: Constantly look for inefficiencies and suggest better ways to get things done.

3. Growth & Sales Support

Lead Generation: Conduct market research and build targeted prospect lists.
Outreach: Manage LinkedIn outreach sequences and B2B communication.
Pipeline Management: Support B2B sales by tracking the pipeline, coordinating follow-ups, and managing sales ops.

4. AI & Automation

AI Leverage: Use AI for drafting content, conducting research, and streamlining workflows.
No-Code Automation: Identify opportunities to use low-code/no-code tools to automate repetitive tasks.

Qualifications and Requirements:

Experience: Minimum of 2+ years of experience as a Virtual Assistant or Operations Specialist. Experience in fast-paced or evolving environments is preferred.
AI Proficiency: Experience with AI productivity tools (such as ChatGPT or Gemini) is required. Specific expertise in Claude for drafting and prompt engineering is a plus.
Technical Skills: Familiarity with LinkedIn Sales Navigator, CRM management, and simple no-code automation tools.
Hubspot Proficiency: Solid experience using Hubspot for at least 1 year. Experience using other CRMs is a great advantage.
Operational Mindset: Proven ability to operate with minimal structure and a hands-on approach to building workflows.
Communication: Exceptional written and verbal English skills for professional B2B outreach and documentation.
Execution Focus: A track record of maintaining consistency in daily output and managing repetitive tasks with discipline.
