Job descriptionThe Finance Controller position plays a critical role in overseeing the financial function of the organization. Responsible for day-to-day financial management, reporting, payroll, accounting, and compliance. This role supports the CEO and ensures accurate and timely financial reporting for internal and external stakeholders. Operating in a fast-paced environment, the Finance Controller leads a small team, collaborates with stakeholders, drives business improvements, and contributes to the company's growth and impact.Effective communication, agility, and alignment with the vision are key aspects of this role. Team and reporting structure The Finance Controller will be part of the senior leadership team and report directly to the CEO/General Manager and/or Board. This role will have direct reports from the bookkeeper. The incumbent is required to operate within the policies and procedures, guidelines and standards; Defined limits of delegated authority; Relevant legislation, regulations and by-laws.Duties and Responsibilities:
  • Ensure royalties, marketing and other related fees are calculated, billed and collected from franchisees.
  • Understand the structure of various franchise operating models, joint ventures and corporate locations.
  • Help run and manage group-level reporting.
  • Ensure there is a variety of recharge models done uniformly and timely between various studios and centres.
  • Look after a group that has ~20 entries.
  • Manage the finance team and work directly with the Senior leadership, develop a team member and create a high-performing finance function.
  • Financial Reporting:
  • Assist CEO in developing and maintaining budget /Profit & Loss and report monthly against it.
  • Manage month-end checklist and timetable.
  • Participate and coordinate month-end planning meetings.
  • Produce monthly compliance reports.
  • Assist in running separate P&Ls for entities as part of the group, including a marketing fund.
  • Develop and maintain Finance policies and procedures.
  • Prepare financial analysis/narrative/variance reporting on monthly performance.
  • Review monthly balance sheet reconciliations.
  • Assist the CEO in developing and implementing a finance operating plan
  • Prepare month-end balance sheet reconciliations, respond to queries, and prepare all entries.
  • Journal entries accruals, pre-payments, deferred revenue and costs.
  • Tax-related activity BAS, GST, and Tax while working closely with external tax agents.
  • Prepare financial statements to compare to the budget with commentary.
  • Inventory control and accuracy.
  • Fixed asset register maintenance.
  • Resolving all items and keeping stakeholders updated.
  • Process improvement and system considerations.
  • Create a rolling 10-week cash flow for the group that is updated once a week and referred to when making AP and pay runs
  • Payroll:
  • Review payruns, load payments, and govern external payroll system and supplier. (currently outsourced)
  • Payroll tax calculations and lodgements
  • Participate in process improvement and staff education
  • Process improvement and system consideration.
  • Forecasts & Budgets:
  • Work closely with the CEO and department heads to assist in preparing financial models.
  • Ensure the forecast aligns with business Key Performance Indicators and objectives.
  • Create an annual forecast calendar and run the process of forecast activities throughout the period to ensure that the forecast evolves over time.
  • Measure back and present meaningful analysis.
  • Projects:
  • Assist the CEO with the implementation of the travel management system and financial policy.
  • Assist CEO with the implementation of staff expense system and financial policy.
  • Continuous improvement of financial statements and related systems.
  • Accounts payable automation and electronic approval process.
  • Data-driven exercises and business unit dashboards.
  • Review stocktake results and act on findings.
  • Sales and Banking:
  • Support the process design to deal with a high-growth business.
  • Ensure all data is processed with an immediate turnaround, all reconciliations are maintained daily, and reports are generated weekly.
  • Maintain debtor control
  • Maintain invoice and sales recording daily by the site from the subsidiary system into an accounting system with perfect accuracy.
  • Franchisee Accounting Compliance:
  • Oversee reporting system for franchisee results and benchmarking across the wider group.
  • Ensure compliance with standards, chart of accounts, accounting process and methodology across the franchise network.
  • Perform a series of monthly checks and audits on the reporting of franchisee accounting records.
  • Work alongside internal and external stakeholders.
  • Scope and Limits In Authority
  • In conjunction with the General Manager, the BDM will approve any major business development opportunities and strategies, as well as budget and timelines on deliverables before execution;
  • The BDM has full decision-making authority over the operational execution of deliverables in order to achieve goals and objectives.

  • To represent the company's values every day, both inside and outside the studio;
  • Identifying areas of improvement in the studio and helping to drive key business initiatives forward;
  • Act as the leader of the assigned studios and ensure you positively impact both team members and clients.

  • Complete reporting within 7 working days after the end of the month, accurately and on time.
  • Financial Reporting
  • In conjunction with the CEO, develop an annual budget and communicate it to the CEO.
  • Monthly Profit & Loss and Balance Sheet produced with commentary.
  • Financials are presented in monthly team meetings.
  • Fixed assets register and lease register is produced and reported monthly.
  • Compliant monthly with key dates for BAS and Tax instalments.
  • Nil Breaches
  • Complete reporting within 7 working days after the end of the month, accurately and on time.
  • Payroll
  • Report fortnightly company wage costs, superannuation, WorkCover, bonuses, leave and illness.
  • Ensure compliance with Superannuation, payroll filing and payroll tax.
  • Compliance with payroll legislation.
  • Forecasts & Budgets
  • Quarterly forecast
  • Monthly board reports delivered on time.
  • Projects
  • Active participation in financial strategy meetings.
  • Review and financial analysis of strategic projects as required.
  • In conjunction with the CEO, develop a financial strategic plan.
  • Sales and Banking
  • Complete reporting as required, accurately and on time.
  • Performance of direct report.
  • Franchisee Accounting Compliance
  • 100% participation in the accounting program by franchisees
  • A monthly reporting pack is delivered to franchisees and the head office.
