This is a remote position.JOB SUMMARY:The Admin Officer will work closely with the US-based clinical and operations team to ensure smooth day-to-day scheduling, communication, and coordination across internal and external stakeholders. This role requires someone who is proactive, highly organized, and able to communicate professionally with a wide range of individuals, including clients, community case managers, and state/county government departments.This is a remote, full-time role based in the Philippines. The successful candidate must be comfortable working Denver business hours (Mountain Time Zone) and navigating sensitive client information with the utmost discretion and accuracy.KEY RESPONSIBILITIESClient & Calendar ManagementSchedule and reschedule appointments for therapists, social workers, and psychologists.Confirm sessions with clients via phone, email, or SMS, taking into account time zone differences.Monitor late arrivals, cancellations, and no-shows, and communicate with clinicians accordingly.Stakeholder CoordinationLiaise with correctional facilities, probation/parole officers, legal representatives, child welfare agencies, and other external partners to coordinate client care.Process and track client referrals from state agencies or court programs.Communication & DocumentationDraft, edit, and format official documents including client intake forms, consent forms, treatment summaries, and referral letters.Maintain real-time, accurate data entry in the practice’s electronic records system (e.g., SimplePractice, TherapyNotes, or equivalent).Handle inbound emails and calls, triaging requests or escalating when clinically appropriate.Workflow & Compliance SupportAssist with onboarding new clients, ensuring all necessary forms and insurance information are submitted.Track documentation deadlines (e.g., for court reports, progress updates) and follow up with clinicians.Ensure records are handled according to HIPAA and data protection protocols.Additional Administrative DutiesMaintain internal spreadsheets and CRM records for reporting and audits.Attend virtual team meetings and contribute to process improvement discussions.Provide ad hoc administrative support to the Operations Manager or Clinical Director as needed.RequirementsPrior experience supporting a US-based or international healthcare, legal, or mental health team (preferred)Excellent written and spoken English with fluency in American professional communication normsComfortable speaking with a wide range of stakeholders—clients, legal officers, clinicians, and case managersHighly organized with excellent time management and task-tracking abilitiesStrong attention to detail, especially with names, dates, legal documents, and report formattingExperience using CRM or practice management systems (e.g., SimplePractice, , Salesforce)High integrity, professional demeanor, and respect for confidentialityBenefitsHere at Access Offshoring, we believe in more than finding our clients the right candidate.
