- Respond to new referrals within 12 hours across all platforms (email, website, Alma, Headway, Google, etc.).
- Manage client and team member onboarding and maintenance.
- Daily management and audience building on social media platforms including Facebook, Instagram, LinkedIn, and TikTok.
- Create new social media content, including graphics, blogs, videos, and email newsletters.
- Upload Vlogs to YouTube and schedule all social media posts.
- Client Management: Respond to client emails, phone calls, and texts within 12 hours. Drive client retention, manage waitlists, and handle no-shows and unpaid bills.
- Team Support: Respond to team member communications within 24 hours. Schedule monthly team calls and ensure clinicians are up to date on their needs.
- Office Administration: Check Alma and Headway daily for referrals and messages. Manage outside billers, implement new procedures, and liaise with key stakeholders.
- Administrative Tasks: Oversee all administrative procedures, including customer service, and marketing, to ensure smooth and effective operations.
- Confidentiality: Maintain the highest standards of client confidentiality and integrity.
- Maintaining a high-quality customer service standard.

- Growth in business revenue, team members, and client types.
- Increased social media engagement and followers.
- Proven experience as a virtual assistant or in a similar administrative role.
- Strong organizational and time-management skills.
- Excellent communication skills, both written and verbal. Minimal accent.
- Proficiency in administrative software and tools.
- Ability to work independently and manage multiple tasks effectively.
- Prior experience in a healthcare or mental health setting is preferred but not required.
- Familiarity with AI tools like ChatGPT or Perplexity is a plus.
- The successful candidate should be a proactive, reliable, and trustworthy professional who can seamlessly integrate into the team and handle sensitive information with confidentiality.
- Therapy IQ knowledge (nice to have)
- HEPA knowledge ideal, certification preferred
- Intermediate to advanced skills in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, Canva, and social media platforms (Facebook, Instagram, YouTube, TikTok).
- The ability to work with minimal supervision, take initiative, and find solutions to problems independently. You should be adaptable, flexible, and always looking for ways to improve efficiency.
