A. Handles the sourcing of internal and external candidates to fill up existing or anticipated vacancies thru internal advertisements and referrals.a.1.1 Rank and File-within 3 weeks a.1.2 Confidential-within 1 monthB. Ensure proper conduct of the recruitment processb.1 Post ads on bulletin boards for any job vacancies to provide opportunities for employees who may be interested to apply for the vacancies, within 2 days from receipt of approved Manpower Requisition Form (MRF)b.2 Coordinates with HR Officer of DMC branches for possible referrals, within 2 days from receipt of approved MRFb.3 Conduct pre-screening interviews to qualified applicants for a positionb.4 Recommends short-listed candidates to superior and initiate / coordinate schedule of interviews with HRD head for managerial position and heads of requisitioning departmentsb.5 Issue pre-employment medical exam referral slip to qualified applicantsb.6 Issue list of pre-employment requirements to qualified applicants with the instruction to submit them completely on their first day of workC. Initiate preparation of Personnel Action Form (PAF) for Rank and File hirees.D. Coordinate preparation of PAF for Confidential EmployeesE. Ensure that Department Heads are notified of the effectivity of the hiring of the new personnel for space allocation and issuance of suppliesF. Ensure that pre-employment requirements are submitted.G. Conduct new hirees employee orientationH. Properly introduce and facilitate payroll account opening with the accredited bank.I. Issue Company ID ensuring that all personal information are accurately inputtedJ. Initiate preparation of 201 file for newly hired employees.K. Monitor employee development by:a. Ensure timely issuance of performance appraisal forms for employees on probationary period a.1 Rank and File - 3rd month and 5th montha.2 Confidential - 3rd month and 5th monthb. Quality hiring ensure that all probationary employees are regularized within 3 months for confidential and 6 months for rank & file.c. Ensure accurate preparation and timely issuance of Personnel Action Form (PAF) to employees who will be recommended to undergo traineeship period.d. Ensure timely issuance of PAF for employees on traineeship periode. Ensure accurate preparation of PAF for employees due for regularization.L. Ensure accurate processing and timely payment / issuance of employee benefits at all timesM. Ensure timely enrollment of newly regularized employee to Group Life InsuranceN. Ensure endorsement of resign employees for deletion to Group life insuranceO. Ensure timely enrollment of newly regularized employees with Maxicare for medical / hospitalization benefit personnel are attended promptlyQ. All medical reimbursement documents submitted by employees are pre-screened to ensure completeness prior to schedule of submission to avoid delay in processingR. All medical reimbursements are coordinated and submitted to HMOS. Ensure endorsement of resign employees for deletion to HMOT. Ensure timely coordination / submission of complete documents for employees entitled to submit forSickness / Maternity Benefit claim with SSSU. Facilitate submission of update forms to SSS, PHIC, PAG-IBIG and BIR upon submission of duly accomplished forms with complete supporting docsV. Ensure timely submission of Mandatory remittances based on deadlines per companys schedule v.1 SSS Contribution and LoanW. Ensure posting of all mandatory remittancesX. Ensure endorsement of resigning employee/ send notice of separation via email to the concerned department headsY. Initiate preparation and issuance of resignation acceptance letter and exit interview form to resigning employeesZ. Initiate preparation and transmittal of separation clearance form of resigning employeesAA. Initiate routing of clearance of resigning employeesBB. Ensure timely submission of final pay endorsement (FPE) of resign employees 3 days after effectivity dateCC. Initiate preparation and timely submission of retirement endorsement of entitled resign employeeDD.Initiate preparation and issuance of employment certificate, employee clearance, final pay check, quit claim to the resign employee upon submission of their IDs and employee manualsEE. Ensure accurate preparation and timely submission of payroll using the HRIS ( Greatday HR )a. Ensure completeness of record for the Inclusion of newly hires (payroll account number, mandatory numbers,etc)b. Deductions on tardiness, undertime, absences (leave without pay), suspension and various (SSS, PAG-BIG, etc) loans.c. Authorized overtime for paymentd. Reversal of previous deductions, deduction of overpaymentse. Payroll on hold in view of resignation, termination, maternity leave, prolonged sickness etc. FF. Ensure emergency medicines / first aid kit are available at all timesGG. Prepares various employment certificates HH.Maintains updated files of HRD related documents. II. Initiate preparation of performance appraisal formJJ. Ensure timely issuance of quarterly appraisal of employeesKK. Ensure timely submission of HR report ff.1 Manning ReportLL. Ensure compliance to Company policies and procedures by conducting rounds to monitor compliance with basic company rules of conduct.MM.
