Work Days: Monday - FridayThis role will play a vital part in patient communications, marketing, and day-to-day operations, helping the provider free up time for client care and networking.???? Key ResponsibilitiesAdministrative & Scheduling
-Manage patient scheduling, appointment coordination, and provider calendar (including speaking engagements).
-Maintain organized follow-ups with leads, patients, and networking contacts.
-Set reminders and assist with task tracking to ensure timely completion of commitments.
-Provide personal assistant support for meetings, billing team coordination, and general admin tasks.Marketing & Outreach
-Collaborate with the social media coordinator to support Instagram, TikTok, and Facebook content creation and posting.
-Engage with followers, respond to inquiries, and maintain a consistent brand voice.
-Research and compile lists of local doctors, practices, and organizations for networking and referral opportunities.
-Reach out to organizations to secure speaking engagements and community visibility.
-Support lead nurturing efforts by following up with warm and cold leads.
-Use Canva to design and edit marketing and promotional materials.Communication & Calls
-Answer inbound patient calls with professionalism, empathy, and a clear, confident phone presence.
-Make outbound calls for networking, referrals, lead follow-ups, and event inquiries.
-Assist in managing the sales funnel, supporting business development through relationship-building rather than hard selling.Desired Skills & Qualifications
-Previous experience supporting medical, plastic surgery, or wellness practices preferred (familiarity with medical terminology is helpful but not mandatory).
-Excellent English communication skills (verbal and written), with a clear and professional phone voice.
-Strong organizational skills; able to manage schedules, follow-ups, and tasks independently.
-Proficiency in IntakeQ (EHR) (must-have!).
-Comfortable with Google Workspace, Canva (must-have!), Google Voice, RingCentral, CRM tools, social media platforms.
-Adaptable and resourceful, able to learn new systems quickly and handle evolving priorities.
-Professional, proactive, and capable of working independently with minimal supervision.Technical Requirements
