The Executive Assistant/Project Support is primarily responsible for providing high-level, personalized secretarial and administrative support in a well-organized and timely manner. The responsibilities of and Executive Assistant includes: Monitor project submittals Monitor project queries/response time Check Project KPI Help prepare templated proposal Receiving calls, take messages and routing correspondence Reading and analyzing incoming correspondence, memos, submissions and reports to determine their significance and plan their distribution Handling requests and queries appropriately Maintain diary, arrange meetings and appointments and provide reminders Produce reports, presentations and briefs Record, type and distribute meeting minutes Follow and carry out the standard documentation and filing system of the Company with efficiency File and retrieve corporate documents, records and reports Perform general office duties for the Executive/s such as ordering supplies and maintaining records management database systems Make travel arrangements for executives Read and understand the company's Quality Management System Incorporate the Quality Policy in every task Work according to agreed quality standards and targets as per QMS Other tasks as may be assigned Show more Show less
