Responsibilities: Procurement/Vendor Management: Full life-cycle vendor management including selection, and educating the vendors on organization requirements and expectations Assists in vendor accreditation, monitors contracts and agreements including follow-through on vendor payments Manage, track, and analyze the budget in relation to admin costs; e.g. office supplies, housekeeping, and pantry supplies Manage vendor payments and analyze the budget for the actual cost To handle all relationships with a supplier to the company Negotiating prices that allow a company's costs to remain low while still getting a quality product Select and maintain a healthy relationship with vendors and suppliers Constant monitoring and audit with performance and financially beneficial interventions at proper intervals to provide cost-efficient but quality deliverables from all vendors Management of people deputed by vendors to encourage them to have our organization's goals in their minds during the delivery of services Keeping track of statutory requirements to be fulfilled by both our organization and selected vendors delivering services to us Facilities Management: Ensure compliance and timely filing of PEZA, ISO, and other government and international compliance Maintain overall office safety and security by maintaining security systems, alarms, doors, access, CCTV, procedures during Emergencies and monitoring of office entries Oversee and manage office bills, repairs, and regular maintenance, inventory, reception, and employee biometrics Ensure compliance with office safety regulations by maintaining safety standards and occupational health hazards Documenting proper guidelines to be followed for consistent maintenance of standards Implement cost-saving measures Assist in site events and employee programs Compliance to the operational process includes proper knowledge and interpretation of the requirements. Proper training and audit functions to ensure that compliance is always followed, and people have the transparency to oversee the same Strong Problem-Solving and Analytical Skills Proven ability to develop, produce and analyze reports from existing systems and make informed recommendations from the data gathered Strong Organizational, Leadership, and Interpersonal Management Skills Proper documentation and training on our organizational objectives, process, and delivery mechanisms Qualifications: Candidate must possess Bachelor/College Degree, any field At least 4 years (s) of working experience in the related field is required for this position At least 3 to 5 years of working experience as an Admin Manager preferably in a BPO Setup Must have excellent Verbal and Written English Communication Skills Solid understanding of computer basics (Windows, Excel, Word, Operating Systems, and the Internet) Awareness of health and safety and cleanliness of the workplace Will be working alongside management and budgeting offices to manage and control stock levels and confirm a company is not overpaying for the tools it acquires Amenable to work in BGC, Taguig in shifting schedules including weekends and holidays.
