We are looking for a Property Management Assistant with a strong background in Australian or New Zealand real estate and hands-on experience using Cirrus8. This role is ideal for someone who's detail-oriented, tech-savvy, and proactive in delivering administrative and operational support to a property management team. You&aposll be helping manage day-to-day tasks that keep our rental portfolio running smoothly while ensuring tenants and landlords receive exceptional service. Key Responsibilities: Handle email and phone inquiries from tenants and landlords in a timely, professional, and friendly manner. Coordinate virtual property tours, schedule inspections, and facilitate a smooth onboarding process for new tenants. Schedule repairs and maintenance with vendors, follow up on job status, and update relevant stakeholders. Prepare, issue, and manage lease agreements, renewals, and other property-related documentation. Upload and update property listings across various online portals, ensuring accuracy and visibility. Coordinate property access and scheduling for showings, routine inspections, and condition reports. Handle data entry, digital filing, and other general administrative tasks. Record and track rental payments, bond deposits, and tenant ledger updates. Maintain organized property files, lease agreements, and maintenance records. Support the property management team with ad hoc tasks and administrative projects as needed. Job Requirements: Minimum 9 months of experience in Australian or New Zealand property management. Experience using Cirrus8 property management software is a must . Experience in Rex software is a bonus but not required . Proficient in at least one of the following platforms: Property Me, Property Tree, AILO, Inspection Express, Kolmeo . Strong working knowledge of Microsoft Office (Teams, Excel, Word) and Google Workspace. Familiarity with Trello, Monday.com, or similar task/project management tools. Excellent communication skills, both written and verbal. Preferred Attributes: Outstanding attention to detail and organizational skills. Ability to multitask and manage time effectively in a fast-paced environment. Must have a reliable internet connection and a fully functional home office. Can start immediately.
