Job Highlights Purposeful and meaningful work Great work culture and set of corporate values Be a part of a global team that enables charitable giving JOB SUMMARY Reporting directly to the Chief of Staff in the CEO's Office, the Executive Assistant will provide high-level administrative, operational, and project support to ensure the smooth execution of strategic initiatives. This role involves handling sensitive and confidential information, coordinating schedules, managing communications, preparing materials, and ensuring the CEO and Chief of Staff are equipped to operate at maximum effectiveness. The EA will also serve as a liaison between the Chief of Staff, leadership team, and internal and external stakeholders, ensuring that priorities are executed with excellence, timeliness, and discretion. RESPONSIBILITIES Proactively manage the schedule of the Chief Executive Officer ("CEO") to guarantee productive time and talent. The outcome is that he will be able to make the highest and best use of his time. Successfully take on delegated projects and operational responsibilities with minimal supervision, freeing up the CEO and Chief of Staff to focus on high-impact leadership priorities. Act as a data steward, ensuring that records, systems, and databases remain organized, accurate, and up to date-resulting in clean and reliable data in CRM and other systems. Develop a deep understanding of TrustBridge Global Foundation's mission, vision, value proposition, processes, and policies to provide informed, independent support. Coordinate Executive Leadership and Board milestones such as birthdays and anniversaries to foster a positive, connected team culture. KNOWLEDGE, SKILLS, ABILITIES, AND PERSONAL CHARACTERISTICS Knowledge Strong understanding of administrative best practices in an international or cross-cultural context. Familiarity with nonprofit operations and international grantmaking processes (preferred). Skills Excellent written and verbal communication skills. Strong time management, prioritization, and multitasking abilities. Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint) and collaboration tools (Zoom, Teams). Competence in using ERP and CRM systems. Abilities Work effectively both independently and collaboratively in a distributed, global team. Anticipate needs, solve problems proactively, and adapt to shifting priorities. Handle confidential matters with integrity, discretion, and professionalism. Personal Characteristics Mission-driven and aligned with the values of the organization. Self-starter with a high degree of ownership and accountability. Fast learner with a commitment to continuous improvement. Warm, relational, and able to foster trust at all organizational levels. EDUCATION, TRAINING, EXPERIENCE Bachelor's degree or higher. Prior Executive Assistant experience required, preferably in a global or nonprofit context. Experience supporting senior leaders, with proven ability to manage complex schedules and projects.
