- Manage the Managing Directors and the Teams calendar/ email /diary management
- Supporting the team members and joint venture partners as required
- Day-to-day operational and administration tasks, standard legal agreement and update of contracts
- Support setting up of calls, meetings with new and existing clients, banks and investors
- Providing supplier / client simple reports / taking down notes / attending / following up meetings as required.
- Producing monthly/quarterly company information to Managing Director.
- Ensuring company products and services from suppliers are up to date, creating, organizing and updating pitch presentations (power points pdfs etc).
- Assist in identifying new sales opportunities, arranging meeting with potential buyers and suppliers as required by the MD and team.
- Developing and maintaining a professional working relationship with business partners and customers, assist in sourcing of new suppliers / materials as required, producing client samples, sending offer contracts to clients.
- Updating CRM online platform and databases, website and portal.
- Basic data entry and other administrative and IT tasks as required.
- Degree education, overseas work experience
- 2-3 years of experience in executive assistance role
- Strong IT expertise
- MS Office: (Outlook, Word, Excel, Teams Powerpoint etc) Google Suite, Sharepoint
- Using technology to improve company efficiencies in growing companies.
- Inbound and outbound sales experience is a big plus
- Possess an enthusiastic, energetic, self-motivated, and detail-oriented approach towards work and all work projects.
- Multi-task and change from one task to another without loss of efficiency or composure.
- Maintain a positive work atmosphere by acting and communicating in a manner so that you get along with customers, clients, co-workers, and management.
- Exceptional customer service, active listening, verbal and written communication skills, and professional phone video manner
- Background in Maritime is a plus.
- Willing to work Monday to Friday 6am to 3pm UK time (core hours 8am 2pm)
