Job Summary: Supports to Operations Standardization by providing administrative and operation support by performing administrative task, liaison and coordination work with departments and third-party service providers. Main Duties and Responsibilities: Administrative Support: Assist in daily office operations and administrative tasks. Manage correspondence, including emails, phone calls, and mail. Prepare and maintain documents, reports, and presentations. Coordination and Liaison: Coordinate schedules, meetings, and events for teams and management. Act as a liaison between departments and external stakeholders. Facilitate communication and information flow within the organization. Project Management: Support project planning and execution by tracking timelines and deliverables. Organize project documentation and ensure all team members are updated. Data Management: Maintain and update databases, files, and records. Collect, analyze, and report on data relevant to operations and administration. Process Improvement: Identify opportunities for improving operational efficiency and effectiveness. Assist in the development and implementation of new policies and procedures. Budget and Resource Management: Support budget preparation and tracking for projects and departments. Manage office supplies and resources, ensuring availability and cost-effectiveness. Facilitates ordering and monitoring of equipment & fixed assets Customer Service: Provide excellent service to internal and external clients. Address inquiries and resolve issues in a timely manner. Compliance and Reporting: Ensure compliance with company policies and regulations. Prepare regular reports on operational performance and administrative activities. Collaborate with team members to achieve organizational goals. Analyze current operational workflows and identify opportunities for standardization. Qualifications: Bachelor&aposs degree in Business Administration, Operations Management, Engineering, or related field. 2-5 years of experience in Administrative and Operation support, process design, operations management, or continuous improvement roles. Excellent problem-solving, analytical, and project management skills. Ability to collaborate with diverse teams and communicate process changes effectively. Strong attention to detail with a focus on achieving operational excellence. Experience gained from any franchise retail store and/or multi branched operations. Strong problem-solving abilities & critical thinking skills Detail-oriented with focus on quality and accuracy Adaptability to changing priorities and fast paced environments Strong analytical skills with the ability to analyze complex processes and identify areas for improvement. Excellent project management skills, with the ability to handle multiple tasks, cross-functional responsibilities and meet completion deadlines. Exceptional communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels. Experience in database management and analysis.
