Ensure accurate and timely processing & recording of admin transactions that are related to the operation of the company; ensure safety and compliance of the Co. with the law and regulations. Assist in Recruitment Process & Company Related Activities
Extent of Authority:
- Raise HEAT calls
- Temporary Admin Personnel
- Onboarding Process
- Handling administrative requests and queries from Department/Senior Managers and RDC employees
- Manage Admin Personnel (Drivers, Janitors and Security personnel)
- Manage Communications related to Admin operations e.g. prepare and distribute email, correspondece memos, letters to RDC Personnel and its stakeholders and suppliers
- Assist in preparation of Admin reports related to day-to-day operations
- Update and maintain office policies and procedures
- Schedule availability of board and meeting rooms
- Book of hotel, flights for managers and executive for business trips
- Provide needs of executive visitors
- Other task required by the management
- Registration of new hired employees or visitors in the system
- Deletion of access cards of resigned employees
- Scheduling calls and interviews.
- Maintaining candidate database.
- Handle applicant paperwork.
- Contacting potential candidates, scheduling interviews, and assisting the HR department during the recruitment process.
- Perform background checks and verify a candidate's qualifications and experience.
- Produce daily recruitment reports and status.
- Assist in planning and implementation of employee engagement programs
- Basic experience as HR Assistant, Staff Assistant or relevant human resources/administrative position
- Knowledgeable in MS Office
- Hands-on experience in HRIS and vendor management system
- Familiriaty with Recruitment resume databases and sourcing platform
- Basic knowledge of labor laws
- Excellent organizational skills
- Strong Communications skills
- Strong time management skills and multi-tasking ability
- Degree in Human Resources, Business Management or related field
- Use or wear personal protective equipment (PPE) e.g. vests, ear plugs, safety shoes, safety goggles etc. as per PPE requirements in your designated work area.
- Must be eligible to legally work in Manila, Philippines.
- Employment is dependent on Citizenship and a national police criminal history check that is acceptable to FUJIFILM DMS.

- Additional security clearances may be required as requested by FUJIFILM DMS or its clients.
- Required to work reasonable additional hours as may be necessary to meet the requirements of the position.
- Maintain FUJIFILM DMS and client confidentiality.
- Some travel may be required to various FUJIFILM DMS sites, interstate or overseas to meet requirements of the role.
- May be needed to be on-call from time to time to meet requirements of the role.
- Required to participate in workplace fit-for-work initiatives (including stretching programs).
