  • Document Management: Collect, review, and validate all relevant documents from clients, brokers, and lenders to ensure all requirements and outstanding conditions are fulfilled within prescribed timelines.
  • Loan Finalization Support: Assist in the preparation, coordination, and execution of lender documentation and contracts necessary to close home loan applications.
  • Discharge & Issue Resolution: Facilitate the discharge process, identify and resolve application issues prior to settlement to avoid delays.
  • Pipeline Oversight: Actively monitor and manage settlements in your pipeline, ensuring proactive follow-up and clear communication with stakeholders.
  • System Documentation: Maintain accurate and detailed case notes in Salesforce to ensure full visibility and continuity across the team.
  • Compliance & Best Practice: Stay informed of changes to the settlement process, industry guidelines, and internal policies to ensure alignment with best practices.
  • Client Communication: Respond to client queries and concerns related to settlement and closing, delivering clear, supportive, and timely guidance.
  • Complex Issue Handling: Navigate and support resolution of complex issues, including those related to property titles and liens.
  • Stakeholder Relationship Management: Foster strong working relationships with internal teams and external partners to support seamless client experiences.
  • Judgement & Escalation: Apply sound judgement in handling client files, escalating matters promptly when risks or issues arise.
Qualifications
  • Preferably at least 2 years of experience working in a similar role within a mortgage/finance industry or anything similar; prior knowledge and experience with mortgage assessment processes is required
  • A comprehensive understanding of financial transactions within the home loan or commercial real estate industry
  • Strong interpersonal and communication skills
  • Exceptional customer service and problem-solving skills with the ability and drive to coordinate with multiple stakeholders and escalate issues internally when necessary
  • Proactive professional with strong time management skills
  • Technology and computer savvy with the ability to navigate and communicate with multiple parties within a virtual environment
