Job Title: Document Controller Quality Assurance Job Summary Quality Assurance is responsible for managing, controlling, and maintaining company documents and records in compliance with quality management system (QMS) requirements. The role ensures that all documents are accurate, current, approved, and accessible, supporting regulatory compliance and continuous improvement initiatives. Key Responsibilities Control, issue, revise, and archive quality documents in accordance with company procedures and QMS requirements Maintain document control registers, master lists, and version control logs Ensure only approved and current documents are available at points of use Coordinate document review, approval, and distribution processes Monitor compliance with ISO standards (e.g., ISO 9001, ISO 14001, ISO 45001, GMP, or project-specific standards) Manage internal and external audit documentation, including audit findings, corrective and preventive actions (CAPA) records Ensure proper filing and retention of records in line with regulatory and contractual requirements Support quality assurance activities such as inspections, audits, and management reviews Liaise with internal departments, project teams, and external stakeholders regarding document requirements Train staff on document control procedures and systems as required Ensure confidentiality and data integrity of controlled documents Qualifications & Experience Diploma or Bachelors degree in Business Administration, Quality Management, Engineering, or a related field 25 years of experience in document control and/or quality assurance Experience working with Quality Management Systems (QMS) Familiarity with ISO standards and regulatory compliance requirements Experience using electronic document management systems (EDMS) Skills & Competencies Strong organizational and attention-to-detail skills Excellent document management and record-keeping abilities Proficiency in MS Office (Word, Excel, SharePoint) and document control software Good communication and coordination skills Ability to work under deadlines and manage multiple priorities Analytical and problem-solving skills High level of integrity and confidentiality Working Conditions Office-based with potential project or site coordination May require extended hours during audits or project deadlines If You Want, I Can Customize this for construction / pharma / oil & gas Adjust it for junior or senior level Align it strictly to ISO 9001 or GMP Turn it into a job posting or HR competency profile
