- Monitor outbound campaign tools for replies, bounces, and opt-outs on a daily basis
- Categorize inbound responses based on defined SOPs and routing rules
- Send scheduling links and execute structured follow-up sequences
- Conduct light research on interested leads and create accurate CRM entries
- Prepare pre-call notes and support weekly reporting on campaign performance
- Send contracts through DocuSign and track signature progress
- Follow up on pending agreements based on defined timelines
- Execute standard contract edits and escalate non-standard requests
- Coordinate onboarding steps and update pipeline stages accordingly
- Collect and verify required onboarding documents from new clients
- Maintain accurate and up-to-date records across the CRM system
- Track lead progression across all stages of the pipeline
- Identify inactive or stalled leads and flag them for review
- Support reporting workflows and maintain data consistency
- Suggest improvements to data organization and visibility when applicable
- Maintain trackers for active agreements and key contract dates
- Notify stakeholders of upcoming renewals and deadlines
- Monitor payment status and flag discrepancies
- Track and document post-agreement updates and changes
- Coordinate shipment details between internal teams and external partners
- Share tracking updates and monitor delivery timelines
- Follow up on delivery status and document outcomes
- Send outbound messages using pre-approved templates
- Monitor responses and route leads into the CRM workflow
- Log outreach activity for tracking and visibility
- 1–3+ years of experience in operations, admin support, sales operations, or similar roles
- Experience supporting outbound or lead generation workflows (LinkedIn, email, or similar)
- Strong attention to detail and accuracy in data handling
- Ability to follow structured processes and SOPs with minimal supervision
- Strong organizational skills and ability to manage multiple workflows at once
- Clear written English communication skills
- Ability to work during US Eastern Time business hours
- Experience in sales operations, virtual assistance, or administrative coordination
- Exposure to CRM systems or pipeline management tools
- Experience to CPG, retail, e-commerce, or brokerage environments
