Position: Procurement Coordinator/ManagerNumber of hours: 40 hours/week
Schedule: UK Time ZoneKey ResponsibilitiesProcurement & Commercial ManagementSource, evaluate, and onboard OS&E (Operating Supplies and Equipment) suppliers across multiple categoriesLead pricing negotiations and manage commercial terms with vendorsPrepare and issue purchase orders aligned with budgets and timelinesSupport tendering processes (RFQs - Request for Quotation, bid comparisons, supplier recommendations)Ensure cost efficiency while maintaining quality and brand standardsOrder Management & Documentation
  • Maintain accurate procurement records, including:
Purchase OrdersContractsProforma invoicesDelivery notesTrack orders from placement to final deliveryEnsure alignment between specifications, quantities, and project requirementsLogistics, Shipping & CustomsCoordinate shipments from suppliers to final destinationMonitor delivery schedules and resolve delays proactivelyManage import/export processes, including customs clearance, duties, and documentationApply knowledge of Incoterms, freight structures, and landed costsInventory Planning & OperationsSupport inventory planning (par levels, attic stock, demand forecasting)Ensure timely delivery aligned with project openings and operational readinessSupplier Management & ComplianceMonitor supplier performance (delivery, quality, cost)Ensure compliance with quality and operational standardsMaintain and develop a strong supplier networkProject CoordinationCollaborate with Project Managers, Designers, and FF&E (Furniture, Fixtures, and Equipment) teamsManage overlaps between Operating Supplies and Equipment and FF&E scopesMaintain clear communication across stakeholdersReporting & ControlsPrepare procurement and status reportsTrack budgets vs. committed spend and flag risks earlyMonitor critical path items and long lead-time risksQualificationsProven experience in OS&E (Operating Supplies and Equipment) procurement within hospitality projectsStrong knowledge of international supply chains, logistics, and customs processesExperience managing suppliers, contracts, and procurement workflowsSolid understanding of Incoterms and freight structuresExperience working with international suppliers is preferredStrong negotiation and cost management skillsHighly organized with the ability to manage multiple projects and deadlinesExcellent communication and stakeholder management skillsHigh attention to detail with strong documentation and reporting disciplineProactive, solution-oriented, and able to work independentlyComfortable working under pressure and tight timelinesProfessional fluency in English (written and verbal)Proficiency in Microsoft Office 365 (Excel, Outlook, Teams)
