- Manage the CEO’s calendar across investor meetings, school and district conversations, community events, and personal commitments.
- Manage meeting minutes and ensure they are organized.
- Coordinate scheduling with Calendly and ensure zero double-books and no missed prep time.
- Ensure Google Workspace organization and that the team follows folder and file management requirements.
- Draft, edit, and send professional correspondence on behalf of the CEO.
- Manage follow-ups with investors, accelerator partners, and school district contacts so nothing falls through the cracks.
- Maintain HubSpot CRM with up-to-date contact records, outreach history, and next steps.
- Support research and outreach coordination for school, district, and nonprofit partnerships.
- Help prepare briefing materials, meeting recaps, and follow-up communications for education-sector conversations.
- Track and manage inbound interest from educators, parents, and administrators.
- Own logistics for investor dinners, community showcases, conference appearances, and school demos.
- Manage vendor coordination, RSVPs, invites, and on-the-ground execution details.
- Support the company’s presence at EdTech and startup ecosystem events.
- Conduct background research on investors, school districts, prospective partners, and industry trends.
- Prepare concise briefing docs and recommendations to support the CEO’s decision-making.
- Create and deploy presentations and documents tailored for different audiences and personas — investor, global partner, and school.
- Book and coordinate domestic and occasional international travel, including conference logistics.
- Manage itineraries, accommodations, and last-minute changes with minimal friction.
- Intelligently track expenses, manage budgets, and provide real-time insights to help stay financially on track with travel and events.
- Handle personal administrative tasks like gifts, errands, and family coordination with the same care and discretion as business matters.

- Proven experience as a Virtual Assistant, Executive Assistant, or in a closely comparable role.
- Exceptional written communication skills: you write with clarity, professionalism, and the right tone for every audience.
- Tech-savvy and comfortable picking up new tools quickly.
- Able to work hours that reliably overlap with U.S. Central Time (Austin, TX).
- Comfortable handling both professional and personal responsibilities with full discretion.
- Willing to sign an NDA as part of onboarding.
- Experience working with early-stage startups, investors, or in EdTech.
- Background in event coordination or school/district outreach.
- Experience supporting a founder or CEO who plays an active public-facing role.
- CEO’s time is protected and her priorities are always clear and moving forward.
- Investor and partner follow-ups happen on time, every time, without reminders.
