THE OPPORTUNITYOur client, an Australian law firm established in 1948 with over 800 staff and 110 partners across eight offices, has grown from its foundation in insurance law into a full-service practice covering commercial litigation, construction and projects, corporate and commercial, government, property, development, and workplace legal services. To support their growing operations, they are hiring a File Splitting Officer to join their team.In this role, you will play an important part in supporting legal operations by processing and organising incoming case files. You will review client instructions and documents, then split, categorise, and save them into a structured folder system within the firm's document management platform. By ensuring documents are accurately named, bookmarked, and filed, you will help legal teams quickly access well-organised materials for ongoing cases.This position is ideal for detail-oriented professionals who enjoy structured, process-driven work and take pride in maintaining accuracy and consistency in document handling.This position requires full on-site work at our BGC office for the first 3-6 months, aligned with Australian business hours (6:00 AM to 3:00 PM PHT). Depending on performance, the role may transition to a hybrid work setup thereafter.KEY RESPONSIBILITIES
  • Review client matter files and extract documents into designated electronic folders, following strict naming and saving conventions.
  • Organise case materials into a standardised structure, including folders such as Accounts, Correspondence, Medical Reports, Clinical Records, Pleadings, and Economic Loss, with subfolders as required.
  • Combine or separate documents according to file type (e.g., invoices in one file, correspondence saved individually with dates and descriptions).
  • Apply chronological or reverse chronological order and add bookmarks where applicable (e.g., Medical Certificates, Combined Medicals, Dispute Notices).
  • Ensure investigation reports, medical records, pleadings, and other key documents are properly saved with accurate descriptions.
  • Identify and remove duplicate or blank documents while retaining all essential records.
  • Maintain consistency, quality, and compliance with internal file management guidelines.
  • Provide support for time-sensitive or ad-hoc administrative tasks related to document organisation.
  • Collaborate closely with the wider legal and administrative teams to ensure efficient and seamless case file management.
SKILLS, EXPERIENCE & QUALIFICATION
  • At least 1 year of experience in administrative, document management, or legal support roles, ideally within a professional services or law firm environment.
  • Strong attention to detail and accuracy when handling large volumes of documents.
  • Excellent organisational and time management skills, with the ability to follow structured processes precisely.
  • Strong written and verbal communication skills in English to ensure clear file descriptions and effective collaboration.
  • Proficiency with electronic document management systems (experience with iManage or similar platforms preferred); experience with Adobe is an advantage but not required.
