- Manage day-to-day caregiver scheduling to ensure all client shifts are covered.
- Respond quickly to last-minute schedule changes, call-outs, or client needs by arranging appropriate coverage.
- Maintain accurate records of all caregiver assignments, shifts, and availability using scheduling software (preferably WellSky). • Communicate with caregivers and clients regularly to confirm schedules and address concerns.
- Answer calls from virtual assistant companies or marketers attempting to reach a referral point of contact, and route or document those inquiries accordingly. (Shared responsibility with recruiter)
- Gather and log contact information for potential referral sources (e.g., hospitals, rehab centers) identified through outside marketing efforts, so the office can follow up on referral outreach.
- Take detailed notes from calls and interactions to ensure seamless follow-up by others on the team when needed.
- Maintain a positive, professional tone with clients, staff, and referral partners at all times.
- Support onboarding efforts by helping new caregivers understand their schedule and first shifts.
- Excellent communication skills - outgoing, friendly, and professional.
- Strong attention to detail and ability to take thorough notes.
- Able to multitask and stay calm in a fast-paced environment.
- Familiarity with scheduling systems; WellSky experience is a plus.
- Tech-savvy and comfortable with phones, email, and cloud-based software.
- 1+year of Scheduling or similar experience.
- Experience handling inbound calls and managing multiple priorities is essential.
