This is a remote position.Job Overview: The Project Coordinator will work for one of our Australian clients and play a vital role to support in project management by ensuring that projects run smoothly, stay on schedule, and meet objectives. This role will be working closely with the Operations Manager and assist project managers in organizing resources, managing timelines, tracking progress, and communicating with stakeholders.Job Responsibilities:
  • Assist the Operations Manager with the successful delivery of minor work projects
  • Maintain an 8+ client rating
  • Procure materials and suppliers promptly to meet tight deadlines
  • Onboard subcontractors to SEQ platforms
  • Compile and track documentation required under the contract
  • Assist Project Managers with bill and invoice closeouts to meet end-of-month targets
  • Create new jobs in the system
  • Upload budgets to job files
  • Create purchase orders
  • Prepare draft progress claims
  • Prepare draft invoices and quotes
  • Create site safety documentation
  • Schedule internal and external trades
  • Collect relevant data and issue weekly client reports for each job
  • Report monthly revenue forecast targets to Head of Operations
  • Follow up on quote proposals and update the system accordingly
Requirements
  • Bachelor’s degree in business administration, engineering, or a related field
  • Project Management experience in an Australian setting is advantageous
  • With proven experience of at least three (3) years in project coordination and administration
  • Proven experience in supporting cross-functional teams and multiple projects simultaneously
  • Knowledge of project management methodologies (Agile, Waterfall, etc.) is ideal
  • Construction industry experience or similar is desirable
  • Budget tracking or financial reporting experience is ideal
  • Familiarity with project management tools (e.g., MS Project, Asana, Trello, Jira)
  • Proficiency in MS Office (Excel, Word, PowerPoint)
  • Experience with reporting and documentation tools
  • Ability to manage multiple priorities, meet deadlines, and stay on top of details
  • Excellent verbal and written communication skills for coordinating with team members, stakeholders, and vendors
  • Capable of working in a fast-paced environment and managing time effectively
