Reporting to: Area Sales ManagerWHAT THIS POSITION IS ABOUT - PURPOSEThe incumbent will be responsible for preparation of reports and presentations for the Regional Sales Manager. She/he will ensure administrative support and professional communication between the field force and other departments of the Company.WHAT WILL YOU DO - RESPONSIBILITIESPerform Sales Admin-related activities in support of the Branch:
- Monitoring and management of office supplies, pantry consumables, and sales vehicle consumables
- Processing of ASH Concur expenses
- Management and liquidation of Branch Revolving Fund, inclusive of WIC and Branch Finance expenses
- Updating of DSO list of vehicles and assignees
- Payment of branch utility bills
- Mailing of documents
- Preparations for various sales and company meetings and events
- Assistance in travel bookings for various sales meetings
- Regular updating of branch organizational charts and branch territory maps
- Coordinate and process requests related to staff house (e.g. additional occupants, transfers, rent increase, furniture, etc.)
- Assistance in purchase of branch/warehouse furniture
- Preparation of coffee / snack / meal for branch visitors and / or guests
- Assistance in the bidding and disposal process for scrap Disposal
- alidation / Monitoring of GRIR (Goods Receipt/Invoice Receipt)
- Updating of DP SOA
- Creation and filing of Market Returns
- Processing of DP POP/Claims
- Printing of DP Contract
- Mailing to HQ of the DP Contract after DM procures the signature of the respective DP
- Validation and submission of Fieldwork tally to FFDG
- Creation of PR / PO for training activities
- Assistance in course thru payments for non-accredited hotels / venues
- Collation and submission to HQ of attendance reports : Leaves, Absences, Overtime, Restday and Holiday work monitoring.
- Routing of Employee Movements and Confirmation forms.
- Assistance in hiring and collection of pre- employment requirements
- Distribution of uniforms and other tools of trade
- Compliance to Government Requirements and ensure readiness for unannounced DOLE audits.
- Coordination of Employee benefits and concerns with P&C Business Partner : Emergency Loans,
- Bereavement Notification, SSS Loan notification, HMO concerns coordination.
- Assistance in Employee cases document collection and submission to P&C.
- Provide administrative Support to P&C Business Partner during branch meetings, trainings, workshops or cascades (both remotely and face to face)
- Support EHS protocols : COVID contact tracing protocols; Coordination with Covid Care; Safety Compliances in the branch.
- Releasing of prizes if FDS not available
- Creation of PO/PR and GRIR
- University Degree; Graduate of any 4-Year Course
- 2-3 years experience in a similar position in a multinational FMCG company. Basic knowledge of
- sales & distribution, trade marketing and market research would be an advantage.
- Fluent in oral and written English. MS Office applications (PowerPoint, Advanced Excel, Word);
- preferably with applied knowledge in SAP.
