This role is mission-critical to help streamline operations, increase efficiency, and support business growth.This is an opportunity to work directly with a founder who is highly driven, direct, and growth-oriented.The OpportunityWe are looking for a highly proactive, detail-oriented Executive / Operations Virtual Assistant who can:Act as the founder’s right handStay ahead of tasks and deadlinesEnsure operational consistencyTake ownership of CRM, follow-ups, and researchProactively identify ways to improve processesThis is not a passive task-execution role.
We need someone who speaks up, asks questions, flags gaps, and takes initiative.Key ResponsibilitiesCRM & Data Management (GoHighLevel)Clean, audit, and maintain CRM recordsResearch and complete missing contact data (email, phone, organization info)Tag and segment records accuratelyEnsure data integrity before campaigns or outreachUpload BNI member lists into CRM before meetingsExecutive SupportReview daily meetings and ensure:Notes are enteredThank-you emails are draftedAttachments are includedRemind the founder of pending actionsFollow up on missed tasksAct as accountability supportResearch & List BuildingConduct deep web research to complete incomplete databasesCross-check information for accuracyEnsure projects are completed and audited before deliveryAdministrative TasksCreate new client profiles in QuickBooks (basic setup only)Support marketing initiativesHelp optimize workflowsIdentify opportunities to take work off the founder’s plateRequired Skills & ToolsMust Have:Experience with GoHighLevel (strongly preferred)Strong research skillsCRM data hygiene experienceHigh attention to detailExcellent written EnglishNice to Have:QuickBooks (basic knowledge)Microsoft Word & ExcelChatGPT proficiencyExperience supporting founders or fast-paced environmentsIdeal ProfileWe are looking for someone who is:Proactive (speaks up when overloaded or unclear)Direct and comfortable asking clarifying questionsOrganized and structuredExtremely detail-orientedAccountable and reliableComfortable working with a direct, fast-paced founderGrowth-oriented and ambitiousThis is ideal for someone who:Wants long-term growthEnjoys improving systemsCan handle constructive feedbackThrives in dynamic environmentsScheduleStart: Part-TimePotential to grow into Full-TimePreference for LATAM time zones (closer to EST)2 live meetings per weekCompensation$4–$5 USD/hourMax budget: $5/hourLong-term growth opportunityInterview ProcessRecruiter screeningFounder interviewSkills assessment (Word, Excel, QuickBooks, etc.)Why This Role Is ExcitingPlay a key role in scaling a nationwide companyOpportunity to grow into a long-term strategic positionHigh impact, high ownership role
