The Role As a Research Administrator/General Administrator, you will be integral to the success of the executive search team, playing a crucial role in identifying, evaluating, and presenting top-tier candidates for global leadership positions. Your responsibilities will include preparing detailed reports, managing project timelines, and organizing materials for presentations. You will also be responsible for maintaining data in relevant systems, conducting due diligence, and providing seamless administrative support throughout the entire search process. In addition to search-related duties, you will provide general administrative task support for the Americas consultants as required. This role demands exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a dynamic, fast-paced environment. The ideal candidate is resourceful, proactive, and thrives on ensuring the smooth execution of each executive search assignment from start to finish. Key Relationships Reporting to: Consultant - Americas Senior Team Lead, Admin - Manila Assistant Team Lead, Admin - Manila Internal Stakeholders: Consultants Research Consultants Executive Researchers Key Responsibilities: Prepare concise and strategic executive briefs based on client-provided job descriptions, highlighting critical details about the role, organization, and recruitment plan. These briefs are designed to ensure alignment and clarity among senior leadership and key stakeholders. Develop a detailed project timeline to outline key milestones and deadlines, facilitating effective planning and execution of the search process. Brand candidate profiles by adhering to established guidelines, ensuring a consistent and professional format for client review. This approach will support the client's decision-making process by providing clear, well-structured, and impactful presentations of each candidate's qualifications and strengths. Upload candidate profiles, CVs, interview notes, and other pertinent information into the CRM system, while meticulously maintaining and updating the candidate's data. Ensure all information is accurately recorded and easily accessible to facilitate a streamlined and efficient search process. Conduct background research on potential candidates, validating the accuracy and completeness of all information. This ensures that only well-vetted, reliable profiles are presented to clients, maintaining a high standard of credibility and professionalism throughout the search process. Handle ad hoc administrative tasks as required, demonstrating flexibility and efficiency in handling diverse responsibilities. Ensure timely and effective execution to support the smooth operation of the organization and meet emerging needs. Requirements: Minimum of 3 years' experience in an administrative role preferably within an executive search firm, professional services environment, development organisation or multinational organisation. Bachelor's degree in Business, Human Resources, Research, or a related field preferred. Knowledgeable with CRM systems and research tools, such as LinkedIn Recruiter, is highly desirable. Knowledgeable in the use of AI tools and emerging technologies to improve efficiency and support innovation in administrative and search processes. Exceptional organizational and time management skills, with an ability to manage multiple projects simultaneously. Excellent communication skills, both written and verbal, and the ability to interact professionally and effectively with colleagues across the globe. Strong attention to detail and problem-solving skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
