Job Description As an Legal Assistant , you'll hold a pivotal role in our client's legal operations. Your responsibilities encompass a wide array of essential tasks, from receiving and preserving transcribed letters, court forms, and filing notes, to meticulously managing our client's firm's software system. Here's an overview of your future role: Employment Type: Full-time Shift: Day Shift (Mon - Fri 06:00 AM - 03:00 PM) Work Setup: Hybrid, Quezon City Salary: PHP 50,000 - 100,000 Perks: Day 1 HMO, Above-market salary, Global exposure What do you need to succeed 5+ years' experience working as a Legal Assistant/Executive Assistant (professional services environment advantageous) Must have experience supporting an Australian or international law firm Excellent spoken and written English Advanced MS Office skills Advanced typing skills/speed High-level organizational skills and ability to meet set deadlines. Self-motivated with a high level of initiative and the ability to work autonomously as well as part of a team Corporate presentation and communication skills What awaits you in this role Lawyer Dictation Receive and save transcribed letters, court forms, and file notes. Save documents to the client's individual file in the firm's software system (Affinity), and forward the electronic links to the lawyer and their Adelaide-based personal assistant. Additional details regarding document naming will be provided. Opening files on Affinity Work from a 'new instruction sheet' to enter information into the Affinity system for opening new client files. This involves a data entry task that may vary slightly across different practice types. Sending clients re (and associated authorities for PI matters) and monitor/save them upon their return Once a file is opened, send a letter to the client providing them with all necessary details regarding the work to be done, the approach, and the associated charges. This letter is referred to as a Retainer. Compile these Retainers using a template, save them to Affinity, and email them to the lawyer for approval, followed by sending them to the client when approved. Occasionally, other documents may be sent to the client along with the Retainer. Compilation of electronic briefs When collaborating with a Barrister and a matter is heading for trial, ensure they receive a copy of all relevant information pertaining to the client's matter. Save these documents in the client's Affinity matter and compile them into a 'bundle' of documents known as a Brief for the Barrister. Compile this brief electronically, working with a List of Documents or an Index, and then email it to the lawyer for review before sending it to the Barrister. Amendments to documents Often, lawyers will make amendments through handwritten notes on previously transcribed documents. Ensure these amendments are incorporated into the original document and save the updated version to Affinity. Additionally, email a copy back to the lawyer for their approval. Drafting Documents Utilize templates to either type provided information into a template document or copy and paste it into the template document. While these documents may vary in type, the underlying task remains essentially the same. Gathering information from new clients before their first appointments Send a standard template email to potential new clients to collect information from them prior to their initial appointment. Once this information is returned, forward it to the lawyer and their Adelaide-based personal assistant.
