Draft simple motions (e.g., Motion for Extension, Motion to Vacate), discovery requests, and related filings.
Prepare proposed Orders for Federal and Circuit courts on behalf of attorneys.
Edit, format, and finalize motions, briefs, and pleadings for filing.
Convert and edit legal documents from PDF to Word as needed.
Prepare and file Mechanics Liens, Release of Liens, Release of Mortgages, and Annual Reports with the Illinois Secretary of State.
Record and research documents with the Recorder of Deeds.
Prepare and manage documents for real estate closings, including closing statements, My-Dec forms, and water bill retrieval.
Court Filing & Case Management
Docket all ECFs and Circuit Court Orders.
File all pleadings, appearances, and forms with the appropriate courts (Federal and Circuit).
Order court reporters and manage deposition scheduling.
Input case data into Best Case to assist in bankruptcy filings.
Upload and manage client documents through Chapter 7/11 Trustee portals.
Client Communication
Act as liaison between attorneys and clients via phone and email.
Provide clients with copies of orders, pleadings, and important case updates.
Respond to client billing inquiries and send payment reminders.
Administrative & Billing Support
Answer incoming phone calls for the firm.
Enter attorney time and case activity into PCLaw.
Manage monthly credit card expense entries and reconcile bank statements.
Generate legal billing and breakdowns for clients.
Assist with data entry and submission of 401(k) and Cash Balance Plan documents to the Newport Group and IRS.
Document Production & Discovery Support
Assemble and organize document productions (e.g., Catalogues of Documents, Dropbox links).
Respond to Citation and Subpoena Riders as part of the discovery process.
Qualifications:
Proven experience in a legal assistant or paralegal role (bankruptcy, litigation, and real estate experience)
Must have an experience in litigation
Strong understanding of legal procedures, court filing systems, and document formatting
Excellent verbal and written English communication skills
Proficiency in Microsoft Office (Word, Excel) and Adobe Acrobat
Familiarity with legal software such as Best Case and PCLaw preferred
High attention to detail and strong organizational skills
Ability to work independently and manage competing deadlines
