- Maintain the Project Document Register (PDR) / SDR in accordance with company and client requirements.
- Manage, organise, and maintain all project documentation in compliance with company and industry standards.
- Allocate unique document numbers, maintain revision integrity, and ensure metadata (titles, disciplines, issue purpose, etc.) are accurate and complete.
- Ensure strict version control, document accuracy, and timely distribution of technical documents, drawings, and project files.
- Manage the storage, distribution, and retrieval of all project documents.
- Verify that each document has been reviewed and approved by authorised personnel prior to release/issue.
- Manage all transmittals (internal and external) ensuring traceability of issue purpose, recipients, and revision history.
- Coordinate document control interfaces with clients, vendors, and subcontractors, ensuring alignment with their numbering and transmittal systems.
- Maintain electronic filing systems ensuring accessibility, security, and confidentiality of documents.
- Withdraw and archive superseded documents promptly; clearly mark obsolete copies as “Superseded.”
- Track document statuses and maintain an updated register of all documentation.
- Participate in audits, provide evidence of document control compliance, and implement corrective actions as required.
- Support training and guidance for project staff on document control procedures and usage of the EDMS.
- Generate and prepare the Expediting Report every Friday.
- Provide administrative assistance to project and management teams.
- Draft and prepare correspondence, reports, and presentations.
- Schedule meetings, take minutes, and follow up on action items.
- Assist with general office tasks such as data entry, filing, and record keeping.
- Support HR/Finance departments with documentation when required.
- 2-3 years experience as a Document Controller, preferably in Mining, Construction, or Engineering industries.
- Strong knowledge of document management systems, version control, and compliance requirements.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong communication skills and ability to coordinate across teams.
- Experience with administrative tasks and office support functions.
- Ability to work independently with minimal supervision.

Working shift: 8:30 am to 5:00 pm
